Job Role: Executive Assistant

Compensation range: $1,500 USD - $1,800 USD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the client’s US business hours (approx. 9 AM - 5 PM, Monday to Friday, client’s time zone) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

The Executive Assistant will provide hands-on administrative, marketing, and operational support across the client’s three businesses. This role is suited to someone who can confidently manage day-to-day priorities, work across multiple platforms, and take initiative without needing constant direction. You’ll work closely with the client and their existing teams to keep tasks moving, support business growth, and ensure key priorities are followed through.

Key Responsibilities:

• Manage the client’s calendar, scheduling, and day-to-day administrative needs
• Track priorities, follow-ups, and outstanding tasks across all three businesses
• Manage social media accounts and support day-to-day marketing activities
• Monitor and respond to incoming leads and enquiries
• Set up and manage marketing funnels using GoHighLevel (GHL)
• Coordinate with the existing GHL team to communicate priorities, follow up on tasks, and keep campaigns moving forward
• Manage Shopify and TikTok Shop accounts, including product listings, orders, and store updates
• Support product development from initial research and sourcing through to supplier coordination and follow-up
• Present product and supplier information to the client and provide clear recommendations when needed
• Research and coordinate with TikTok influencers and other content creators for collaborations and campaigns
• Proactively identify priorities, take initiative, and follow through with minimal supervision

Qualifications

• 3 years of experience as a Virtual Assistant supporting digital marketing and e-commerce operations
• Strong experience in administrative support, social media, e-commerce (Shopify, TikTok Shop, Amazon), and marketing funnel management
• Must have experience with GoHighLevel (GHL)
• Hands-on experience with overseas product sourcing and/or product development, including supplier research and coordination
• Comfortable presenting product and supplier information to a client and communicating recommendations clearly
• Experience with TikTok influencer sourcing, outreach, coordination, and/or content development is highly valued
• Highly organised, proactive, and able to manage competing priorities independently
• Strong written and verbal communication skills
• Experience working US-aligned hours, with a genuine preference for this schedule long-term
