Role Description

The Cancer Registry Specialist is responsible for performing duties related to case finding, and follow-up as set forth by the American College of Surgeons - Commission on Cancer for accredited cancer programs.

  • Confers with physicians to schedule patients for presentation at tumor board meetings
  • Creates the tumor board agenda and collects pertinent medical records
  • May attend the virtual cancer conference when requested
  • Does not manage other caregivers

Essential functions and duties include:

  • Ongoing identification of all reportable cancer cases meeting current state and ACoS reporting requirements
  • Reviews new patient lists, pathology reports, and x-ray reports weekly to find appropriate cases
  • Enters new cases into a suspense file in the registry software
  • Accurate follow-up of cancer cases including date of last contact, disease status, and vital status
  • Updates patients currently on active follow-up in the cancer registry through multiple electronic systems
  • Responds to follow-up requests from other cancer registries
  • Sends letters to physician offices to request updates on shared cancer patients
  • Maintains ACoS required follow-up percentages for long-term and recent follow-up
  • Coordinates physician requests to schedule patients for tumor board presentation
  • Collects relevant medical records, pathology, and x-ray reports for tumor board case presentation
  • Creates the tumor board agenda and sends out notifications to physicians and other staff
  • Reviews obituaries to update case status and notifies medical records and physicians
  • Reviews hospital deceased list and updates vital status in Oncolog software
  • Performs necessary job functions in absence of the supervisor to support tumor board meetings
  • Knowledge of Protected Health Information (PHI) and HIPAA
  • Supports the vision, mission, and values of the organization

  • Provides and maintains a safe environment for caregivers, patients, and guests
  • Conducts all activities with professionalism and confidentiality
  • Complies with all applicable laws, regulations, policies, and procedures
  • Delivers customer service and/or patient care in a timely, efficient, and accurate manner
  • May perform additional duties of similar complexity as required or assigned

Qualifications

  • Required: Associate’s degree in Health Information Management or related health care field
  • Completion of anatomy and medical terminology courses
  • Preferred: N/A

Requirements

  • Required: Two (2) years experience in an administrative support role
  • Preferred: Two (2) years experience in a health care setting, experience with Epic EMR
  • Experience working with Oncolog software

  • Rarely (10%): Stooping/kneeling/crouching, lifting, carrying, pushing or pulling 11-25 pounds
  • Never (0%): Climbing ladder/step-stool, lifting/carrying/pushing or pulling 25-50 pounds
