[Hiring] Client Operations Manager @Bifrost Studios

Role Description

Bifrost Forge, Copenhagen-based with a team across Europe, is hiring a remote Client Operations Manager. You’ll own client management, proposals and delivery coordination across all our agencies from day one. You’ll report to the head of Bifrost Forge and work closely with each agency lead.

This is the operational lead for client success at Bifrost Forge. You own the proposal process end to end, hold the client rhythm across all four agencies, and keep delivery on track. The path from here is Head of Client Services with your own team, or running one of the agencies.

What you’ll do

• Run the full five-step proposal process (discovery call, per-agency research, strategy sync, proposal build, proposal call) and keep the template and service menu current.
• Own the client rhythm: set up channels and calendars, write pre-call agendas and post-call recaps, run weekly syncs, and keep a fixed weekly cycle of materials out and feedback in.
• Keep each client’s project plan up to date, flag dropped tasks before the client notices, and manage handoffs when several agencies work on the same client.
• Follow up with clients and the team so nothing sits unanswered for more than a working day.
• Produce a weekly read per client to the relevant agency lead, and a monthly scorecard covering proposal-to-win rate, churn, on-time delivery, and response times.
• Build and maintain delivery manuals for each service and flag renewals at least 30 days before they fall due.
• Set up the project structure from scratch when a new client comes on. We work in Claude, Granola, Linear, Attio, Slack and Google Workspace; you don’t need to know them all already, but you need to pick up tools fast.

Qualifications

• Agency, consultancy, or professional services background in a client-facing coordination role (account management, client services, engagement management, or operations).
• Has written or assembled proposals and scopes of work that won business and can share an anonymised example.
• Has managed delivery across more than one team or supplier simultaneously and kept it on time.
• Writes clear, short, correct English fast (agendas, recaps, client updates, proposal sections) in plain language.
• Uses AI tools daily for drafting, summarising, and task capture, and knows where they help and where they don’t.
• Own the delivery model across the studio and standardize delivery model and operations.
• Has run a weekly client meeting as the agenda owner, not as a note-taker.
• Right to work in the EU, EEA, UK or Switzerland.

Requirements

• Consulting, B2B marketing, outbound, or brand agency background; experience with PE- or VC-backed clients.
• Has worked inside a small founder-led business and built a process or template library others actually used.
