Role Description
We are seeking an experienced Specification Writer to develop, coordinate, and manage high-quality architectural specifications for a diverse range of clients and building projects. The successful candidate will bring strong technical knowledge of construction materials, building systems, industry standards, and contract documentation.

Collaborate closely with owners, architects, developers, engineers, consultants, manufacturers, and project teams to translate design intent and technical requirements into clear, accurate, and coordinated specifications.

Play a client-facing role, helping develop project opportunities, prepare proposals, build strong client relationships, and ensure successful delivery of specification services.
**This position is 100% remote; Candidate must live in one of the listed Provinces of Canada to be considered for employment: Alberta, British Columbia, Ontario.
Key Responsibilities

Prepare, edit, coordinate, and maintain comprehensive architectural specifications for projects of varying size, type, and complexity across Canada.

Develop project specifications using industry-standard formats, including MasterFormat and SectionFormat.

Review architectural and other discipline drawings, schedules, design documentation, and consultant information to ensure specifications are complete and coordinated.

Work collaboratively with project teams throughout design and documentation phases.

Research and evaluate building products, materials, systems, standards, and manufacturers.

Identify discrepancies, omissions, and coordination issues between drawings and specifications.

Develop and maintain office master specifications, templates, technical standards, and specification libraries.

Incorporate applicable building codes, standards, sustainability programs, and accessibility requirements into project specifications.

Provide technical guidance to project teams regarding product selection and specification strategy.

Review manufacturer product information for compliance with project requirements.

Support tender, procurement, and construction administration activities.

Monitor changes to codes, standards, products, materials, and construction practices.

Mentor and provide technical guidance to junior specification writers.

Help establish and continuously improve specification-writing processes and quality-control procedures.

Prepare project proposals, scopes of work, and fee estimates for specification services.

Support business development activities by identifying and pursuing new project opportunities.

Build and maintain strong, positive relationships with clients and industry partners.

Manage client expectations and ensure high-quality project deliverables.
Qualifications

Certified Specification Practitioner (CSP) designation required.
-
Minimum 3 years of professional experience writing architectural specifications.

Strong knowledge of Canadian construction documentation, materials, products, systems, and contract types.

Demonstrated experience preparing architectural specifications and coordinating specifications across multiple disciplines.

Strong working knowledge of MasterFormat, SectionFormat/PageFormat, and industry specification practices.

Understanding of applicable Canadian building codes and construction standards.

Ability to interpret architectural and engineering drawings.

Strong research and technical writing skills with exceptional attention to detail.

Ability to manage multiple projects, priorities, and deadlines simultaneously.

Excellent written, verbal, and client-facing communication skills.

Strong collaboration skills.
Preferred Qualifications

Registered Specification Writer (RSW) or Certified Specification Practitioner (CSP).

Knowledge of the construction industry, industry standards, and building codes.

Experience working within an architectural, engineering, or multidisciplinary design organization.

Experience preparing proposals and supporting business development activities.

Existing relationships within the Canadian architecture, engineering, or construction community.

Additional industry certifications or involvement with specification and construction-industry organizations.

Experience in sustainable design/LEED.

Ability to work independently and meet deadlines.
Compensation & Benefits

Base salary: $100,000 CAD per year.
