Responsibilities

• Manage and coordinate complex calendars, appointments, and travel arrangements.
• Prepare and edit correspondence, communications, presentations, and other documents including detailed itineraries.
• Coordinate and organize client meetings, ensuring all logistics and materials are handled efficiently.
• Assist in itinerary planning and development to support luxury travel experiences.
• Handle confidential information with discretion and maintain professionalism at all times.
• Act as a liaison between clients and travel advisors as well as third-party vendors to ensure smooth communication and coordination.
• Monitor and respond to emails and phone calls on behalf of the company, prioritizing urgent matters.
• Support administrative tasks such as expense reporting, invoice tracking, and database management.

Qualifications

• Proven experience as an executive assistant within the luxury travel or hospitality industry.
• Exceptional organizational and time-management skills with the ability to manage multiple priorities effectively.
• Strong written and verbal communication skills, demonstrating professionalism and clarity.
• Proficiency in Microsoft Office Suite and travel planning software; Axus, Sion, and Tres would be a bonus.
• Ability to work independently with a proactive approach to problem-solving and decision-making.
• Excellent interpersonal skills with a client-focused attitude and the ability to build strong relationships.
