Role Description
The Sales Operations Specialist will provide essential coordination and administrative support to the commercial and sales team, helping ensure customer orders, product launches, shipments, promotional activities, and sales information are managed accurately and on schedule.

Expediting customer orders from multiple sources, including international and national FOB, international and national palletised, and DSV orders.

Checking ship window availability with product / CN and highlighting non-conforming dates.

Managing the Order Status Document, including inputting orders for review by various teams and applying pressure where securing production is critical.

Removing estimates (additions) when orders are placed, as pre-agreed with the National Account Manager / Channel Manager, and reporting back to the commercial team in the agreed format.

Interpreting FOB shipment information from the China team and highlighting any issues.

Liaising with the China team and retailer merchandising teams, highlighting any issues to the National Account Manager / Channel Manager.

Building and maintaining reports.

Retailer promotional calendars and estimates versus actuals.

Retailer accruals versus spend file maintenance.

Processing retailer SOA claims to pre-agreed metrics.

Working with the partnerships team on SOA and promotional confirmations once agreed by the NAM/CM.

Working with retailers and internal stakeholders on product set-up, including managing deadlines and launch dates.

Managing order planning, stock and sales inputs.

Building presentations for range, pallet and WIGIG offers created by the NAM/CM.

Expediting orders, confirming whether stock has shipped and highlighting any issues back to the NAM/CM.

Building the base for commercial summaries, with the NAM/CM retaining ownership of the commercials.
Qualifications

Minimum 3β5 years of relevant experience in Sales Coordination, Sales Operations, Commercial Operations, Order Management, or a similar role.

Experience supporting commercial, sales, retail, or account management teams is highly preferred.

Experience coordinating with multiple stakeholders, customers, internal teams, and/or overseas teams is preferred.
Requirements

Intermediate to good Excel skills, including maintaining reports, tracking data, and preparing commercial summaries.

Proficient in Microsoft Office, particularly Excel, Outlook, and PowerPoint.

Comfortable working with order management, sales, stock, promotional, and commercial reporting data.

Able to interpret information, identify discrepancies, and highlight potential issues.

Strong understanding of sales coordination and commercial support, rather than purely administrative or order-processing work.

Experience coordinating customer orders, shipments, stock, product launches, promotions, or retailer requirements is advantageous.

Able to monitor deadlines, follow up with relevant teams, and proactively resolve or escalate issues.

Commercially minded, with the confidence to challenge ideas, ask questions, and contribute to discussions rather than simply follow instructions.

Able to manage multiple priorities and stakeholders simultaneously.

Strong written and verbal communication skills.

Comfortable working with Sales/Account Managers, retailers, internal departments, and overseas teams.

Able to build positive working relationships while confidently following up and pushing for action when required.

Comfortable working in a role with multiple stakeholders and reporting lines, with no people-management responsibility.
