Role Description
Our Client is seeking an empathetic, highly articulate, and sales-minded Treatment Setter to represent partner dental practices as the first point of contact for prospective patients. Operating at the intersection of consultative sales and patient advocacy, this professional will guide high-intent leads through phone, SMS, email, and chat interactions. Supported by proprietary dental AI tools, this individual will listen without judgment, navigate financial and anxiety-based objections, build rapid trust, and schedule qualified consultation appointments with partner practices.
Key Responsibilities

Patient Engagement & Consultation Scheduling

Serves as the primary brand ambassador across phone, SMS, email, and live chat for incoming patient inquiries across 150+ US dental partner practices.

Builds immediate rapport with vulnerable patients, actively listening to personal smile concerns and guiding conversations with empathy, confidence, and professionalism.

Navigates patient hesitation, anxiety, and objections naturally, enabling prospective patients to make informed consultation decisions without pressure.

Schedules consultation appointments accurately directly onto partner practice calendars, maintaining speed, urgency, and precision.

Pipeline Management & CRM Hygiene

Owns the complete lead lifecycle, executing rapid, consistent follow-ups to ensure zero patient opportunities fall through the cracks.

Maintains strict data integrity across CRM platforms (e.g., Asana, internal CRM, and call platforms), logging detailed notes, conversation context, and status updates.

Utilizes proprietary dental AI platforms, call intelligence tools, and automated workflows to deliver a personalized patient journey.

Performance Optimization & Confidentiality

Participates in ongoing coaching, script reviews, and performance evaluations to refine phone conversion techniques continuously.

Upholds strict standards of patient privacy, data security, and full HIPAA compliance across all digital and verbal communication channels.
Qualifications

Proven background in consultative sales, appointment setting, or high-volume inbound customer engagement with a track record of achieving performance targets.

Exceptional ability to build trust quickly with vulnerable callers, remaining composed, empathetic, and professional under pressure.

Demonstrated proficiency in guiding conversations past hesitation, fear, or uncertainty without adopting aggressive closing tactics.

Zero-defect spoken and written English skills with a warm, natural tone suitable for North American patient interactions.

Experience navigating CRM databases, task management platforms (e.g., Asana), and modern cloud telephony systems.

Demonstrated integrity and commitment to maintaining HIPAA compliance and patient confidentiality.

Full commitment to working standard US Pacific evening hours (12:30 PM β 9:00 PM PT).
