Role Description

As our project volume grows across markets, our leadership team has been personally coordinating every rehab. This role exists to take that off their plate and become the central coordination point for our projects β€” bringing consistency and structure so we can scale.

This is a fully remote role, designed to run entirely from your home office. You will coordinate active rehab projects you will never physically visit, using photos, video, shared systems, and regular check-ins to stay on top of every property. You will be our eyes on each project from a distance: tracking progress, keeping our systems current, chasing the details, and making sure nothing slips.

You will support multiple projects at once through timelines, budgets, reporting, and communication. The role supports decision-making and execution and coordinates our contractors and vendors remotely β€” it does not manage crews on site. Over time it can expand into broader operations support as we grow.

How You'll Work (Remote-First)

  • You run projects entirely remotely β€” no site visits and no travel
  • You monitor progress through contractor photos and video (CompanyCam or similar), not in person
  • You keep contractors, vendors, and ownership aligned through clear, documented written and verbal communication
  • You manage your own day and workload with minimal oversight, coordinating across U.S. time zones
  • You treat our shared systems (Asana, Sheets, shared drives) as the single source of truth, so anyone can pick up exactly where you left off

Key Responsibilities

  • Project Scheduling & Tracking
    • Build and track project timelines using simple, repeatable templates
    • Monitor progress across all active projects and flag delays early
    • Help hold contractors and stakeholders accountable to agreed timelines, deliverables, and milestones
  • Budget & Cost Tracking
    • Gather and consolidate contractor quotes per project
    • Maintain and track project budgets against actual spend
    • Flag cost overruns and risk areas early
    • Help manage and document change orders
  • Rehab Scoping & Estimating Support
    • Support the acquisition team with virtual property walkthroughs and data collection
    • Assist with initial rehab scoping and cost assumptions
    • Update projected total cost and timelines as projects progress
    • Research and provide recommendations on rehab decisions when needed
  • Progress Monitoring & Reporting
    • Review photos and videos submitted by contractors and site teams to assess and document real progress
    • Produce clear weekly updates on timeline and budget status
    • Support lender draw packages with clean, well-organized documentation
    • Keep all project documents organized (scope, invoices, photos, and records)
  • Communication & Coordination
    • Act as the central point of coordination between contractors, project managers, and vendors and the ownership team
    • Coordinate and facilitate weekly project status meetings and distribute follow-up action items
    • Keep updates consistent, clear, and documented
  • Process & Systems
    • Use and follow standard workflows for every project
    • Identify what is working and what needs to improve
    • Contribute to building repeatable systems as the company scales

Qualifications

  • 2+ years in project coordination, construction or renovation support, property management, or real estate operations
  • Proven success working remotely with U.S.-based or distributed teams
  • Strong Excel / Google Sheets skills for daily budget and cost tracking
  • Comfortable managing multiple concurrent projects in project management software
  • Working knowledge of residential rehab and renovation workflows β€” able to judge whether a project is on track from photos, videos, and written updates
  • Strong written and spoken English, with the confidence to coordinate directly with U.S.-based contractors, project managers, and vendors
  • Detail-oriented and organized, with a proactive, problem-solving approach
  • Reliable home office setup and availability during U.S. business hours

Preferred Qualifications

  • Experience supporting U.S.-based real estate investors, fix-and-flip operations, or small development projects
  • Familiarity with rehab budgeting, change orders, and lender draw documentation
  • Experience with project photo tools such as CompanyCam
  • Proficiency with AI tools and methods
  • Exposure to accounts payable or bookkeeping processes (potential future scope)
  • Track record of building or improving SOPs and coordination systems
