[Hiring] Operations Manager @Rooted Talents

Role Description

We are looking for a highly organized and proactive operations professional who takes full ownership of challenges, quickly structures information and teams, and drives projects to completion with minimal oversight. This person anticipates potential issues, proposes practical solutions, and continuously improves operational workflows and systems.

The ideal candidate is a problem-solver who proactively brings ideas, solutions, and operational improvements to leadership. They thrive in fast-moving environments and are comfortable coordinating across teams to ensure execution and accountability. This role works closely with the CEO and the U.S. Operations Lead to support company growth, operational excellence, and cross-team alignment.

The ideal candidate has experience working on hotel or restaurant openings in the Philippines and/or with a growing short-term rental management company serving markets in the United States, Europe, or Canada. They demonstrate strong ownership, excellent communication skills, and the ability to handle conflicts and guest complaints with professionalism and confidence. Strong references from previous employers are essential.

• Guest Services Support
  • Manage the back office team, including scheduling, vacation planning, hiring and training, performance reviews, and handling internal escalations.
  • Host a weekly Guest Services meeting to review the upcoming 14 days and proactively prepare for guest stays.
  • Resolve escalated guest complaints and determine appropriate compensation when necessary.
  • Establish and maintain clear performance KPIs for the Guest Services team and ensure accountability to those standards.
• Project Management and Operations Support
  • Coordinate operational projects, including property onboarding and offboarding, vendor management, and other operational initiatives.
  • Build and manage project boards (Trello) and track deliverables against timelines.
  • Ensure projects are organized, documented, and executed with strong attention to detail.
  • Identify operational inefficiencies and recommend improvements.
  • Propose automation and process improvements to streamline back-office operations and better integrate with U.S. operations.
  • Drive projects to completion while coordinating across multiple team members and departments.
• Owner Communication
  • Optimize listings across platforms (Airbnb, VRBO, Booking.com) by updating descriptions, titles, photo order, and captions, and ensuring listing accuracy when units are refreshed or new photos are added.
• Executive & Strategic Support
  • Serve as a key operational counterpart to the CEO and U.S. Operations Lead.
  • Support coordination of operational priorities across departments.
  • Manage the CEO’s calendar and scheduling when needed.
  • Help drive operational initiatives and cross-team collaboration.

Qualifications

• 3–5 years of experience managing teams or operational staff.
• 3–5 years of experience managing projects or operational initiatives.
• Minimum 2 years of leadership experience managing teams.
• At least 3 years of customer service experience in hospitality, airlines, or retail environments (call center experience alone is not sufficient).
• Experience working with operational tools such as project management platforms (Trello, Breezeway, Miro etc.) and with a PMS (preferably Guesty).
• Strong organizational skills with exceptional attention to detail.
• Ability to manage multiple priorities and maintain strong execution discipline.
• Clear communicator who leads with both firmness and empathy.
• Highly proactive, solutions-oriented mindset.
