Role Description

We are looking for a detail-oriented and proactive Track & Trace & Operations Coordinator to support our dispatch and carrier operations team. In this role, you will be responsible for:

• Monitoring active shipments
• Communicating with carriers
• Dispatching booked loads
• Maintaining accurate records in Port TMS
• Ensuring all required shipment documentation is collected

The ideal candidate is organized, able to multitask in a fast-paced environment, and has previous transportation or logistics experience.

Qualifications

• Previous experience in transportation, logistics, or freight operations
• Experience with Track & Trace and shipment monitoring
• Familiarity with Transportation Management Systems (TMS); experience with Port TMS is a plus
• Strong written communication skills and professional email etiquette
• Excellent attention to detail and organizational skills
• Ability to prioritize multiple tasks and work efficiently in a fast-paced environment
• Comfortable communicating with carriers and internal teams to resolve operational issues
• Proficient in Microsoft Office, Google Workspace, and web-based platforms
• Strong problem-solving skills and a proactive approach to daily operations

Requirements

• Send email updates and follow up with carriers regarding shipment status, pickup, and delivery ETAs
• Perform Track & Trace on active shipments and document status updates
• Build, update, and maintain loads within Port TMS
• Dispatch booked loads to assigned carriers and confirm load acceptance
• Confirm carriers are on schedule for pickups and deliveries, escalating any delays or service issues when necessary
• Collect Bills of Lading (BOLs), Proofs of Delivery (PODs), and other required shipment documentation
• Send shipment tracking information to customers and internal team members as required
• Complete carrier setup and onboarding after loads are booked, ensuring all required information is accurately entered into Port TMS
• Maintain accurate shipment records and communicate professionally with carriers and internal departments to resolve operational issues
• Utilize Transportation Management Systems (TMS), email, spreadsheets, and other web-based platforms to manage daily operations
• Prioritize multiple shipments while meeting deadlines in a fast-paced environment
• Assist with additional operational and administrative tasks as assigned
