[Hiring] Practice Coordinator Team Lead @Thyme Care

Role Description

As a Practice Coordinator Team Lead , you will lead and support our team of Practice Coordinators who serve as the operational backbone of our virtual care delivery model. Your team ensures smooth telehealth operations, accurate provider scheduling, timely administrative support, and seamless patient coordination—ultimately enabling our clinicians to deliver exceptional care.

Reporting to the Director of Practice Operations, you will:

• Manage Practice Coordinator daily workflows.
• Triage non-clinical escalations.
• Monitor productivity.
• Champion quality and consistency across our virtual medical practice.
• Collaborate cross-functionally with clinical leadership, operations, and product to identify gaps, share insights, and contribute to process improvements that elevate the provider and patient experience.

After your first three months, you will:

• Complete Practice Coordinator training and demonstrate competencies in the PC role during a ramp period.
• Gain deep expertise in Thyme Care systems, tools, workflows, policies, escalation pathways, and documentation standards.
• Begin directly managing and coaching a team of Practice Coordinators, serving as their primary escalation point for non-clinical questions and operational issues.
• Lead daily operational touchpoints such as huddles, case reviews, or workflow stand-ups to drive alignment and performance.
• Take ownership of queue monitoring, workload balancing, and schedule optimization to ensure timely and efficient telehealth operations.
• Monitor quality and productivity metrics, provide actionable feedback, and implement coaching or remediation plans when needed.
• Contribute to the creation and refinement of resources, SOPs, staffing models, and project initiatives supporting practice operations.
• Demonstrate the ability to provide overflow PC coverage, including telehealth initiation, scheduling, and administrative support, as needed.

• Experience supporting high-volume administrative or care coordination teams.
• Thrives in ambiguity.
• Prior experience in virtual healthcare, customer service, or tech is a plus.
• Must be available to work a set schedule, Monday-Friday.
