Role Description

We are looking for a highly organized, tech-forward Operations Manager to streamline daily workflows and ensure project delivery for US-based businesses. In this role, you will bridge the gap between executive strategy and team execution by leveraging modern Agile methodologies and Artificial Intelligence. The ideal candidate doesn't just manage projects manually but uses AI tools to automate documentation, optimize task delegation, and turn chaotic environments into highly efficient, scalable systems.

Key Responsibilities

• Oversee daily business operations, ensuring that internal processes run smoothly and project deadlines are met.
• Utilize AI tools (e.g., Notion AI, ChatGPT, or native AI features in Asana/ClickUp) to rapidly draft Standard Operating Procedures (SOPs), summarize meeting transcripts, and generate weekly performance reports.
• Implement and manage project management frameworks (Agile/Scrum) tailored to the company's specific needs.
• Map out existing workflows, identify operational bottlenecks, and deploy AI-assisted automations to eliminate repetitive administrative tasks.
• Manage the company’s tech stack, acting as the main point of contact to ensure clear communication and alignment across cross-functional teams.
• Track operational KPIs and ensure data-driven decision-making across departments.

Qualifications

• 3-5 years of experience in Operations Management, Project Management, or a similar role within a digital-first company.
• Proven experience using Generative AI to boost personal and team productivity (e.g., writing prompts to create project plans, using AI meeting assistants like Otter.ai or Fireflies.ai).
• Expertise in modern project management software (Asana, ClickUp, Monday.com) and team collaboration tools.
• Practical experience with Agile methodologies (Scrum, Kanban); certifications are a plus.
• Advanced English proficiency (C1), both written and spoken, with the ability to lead meetings and negotiate confidently with stakeholders.
• Exceptional organizational skills and a proactive, tech-savvy "get-things-done" mentality.

Requirements

• 3–5 years of experience in Operations Management, Project Management, or similar roles.
• Experience managing daily operations, workflows, teams, and project delivery.
• Hands-on experience with Agile methodologies: Scrum and Kanban.
• Proficiency in Asana, ClickUp, Monday.com, or similar project management tools.
• Practical experience using Generative AI tools (ChatGPT, Notion AI, or similar) to create SOPs, project plans, reports, and automate tasks.
• Experience with AI meeting assistants such as Otter.ai or Fireflies.ai.
• Advanced English (C1), written and spoken.
• Strong organizational, analytical, leadership, and problem-solving skills.
• Agile or Scrum certifications.
• Experience implementing AI-assisted workflow automation.
• Experience managing cross-functional teams in digital-first or remote companies.
• KPI tracking, operational dashboards, and process improvement experience.
