Role Description

We are seeking an ambitious, highly organized, and AI-fluent Operations Coordinator on behalf of our client. This individual will own, optimize, and scale the firm's core business infrastructure and help with long-term growth. This is not a traditional administrative role—the client is looking for an analytical, proactive operational self-starter who can take direction from executive leadership, audit existing workflows, build robust Standard Operating Procedures (SOPs), leverage advanced AI tools (specifically Claude), and ultimately transition into owning end-to-end operations.

Key Responsibilities

• Audit, Optimization & AI Automation:
  • Map out and streamline existing workflows.
  • Build systemized SOPs.
  • Implement advanced AI (Claude) to optimize daily administrative tasks.
  • Take complete ownership of key internal bottlenecks like onboarding, timekeeping, invoicing, and payroll.
• Internal Collaboration & Visibility:
  • Improve cross-team collaboration for 12+ remote professionals.
  • Design tier-1 executive dashboards.
  • Prevent bottlenecks before they impact delivery.
  • Configure secure Google Drive matter segregation.
  • Organize a template repository for AI integration.
• Customer Experience & Expansion Support:
  • Manage smooth customer-facing dashboards for high visibility on open matters.
  • Ensure seamless client onboarding.
  • Assist leadership with marketing logistics and brand kit implementation (using Claude Design) for new subscription service packaging.

Qualifications

• Core Requirements:
  • AI Expertise (Claude Specialist): Advanced experience using Claude, including structured prompting, using Claude as a thinking partner for problem-solving, and utilizing features like Claude Design/App Creation.
  • Tech Ecosystem Mastery: Deep fluency in Google Workspace (Docs, Sheets, Drive, Meet). High technical autonomy to troubleshoot independently via AI tools.
  • Operations & Systems Mindset: Natural instinct to document, build SOPs, optimize inefficient tasks, and eliminate redundancy.
  • Proactive Execution & Communication: High level of ownership with an ability to anticipate needs and work without micromanagement. Exceptional verbal and written English skills with absolute discretion for handling sensitive legal/financial data.

Requirements

• C1 English level is required. The selected candidate will be speaking strictly in English during their whole shift.

Benefits

• Salary: $1800 to $2000 per month.
• Work Schedule: Monday to Friday, 8:00am to 5:00pm - Flexible (EST), Minimum 4 hours daily overlap.
• Target Start Date: ASAP.
