[Hiring] Logistics & Operations Assistant @Valatam

Role Description

You are the right fit for this role if you thrive in fast-paced, high-volume environments and can independently manage administrative and operational tasks with a strong attention to detail. This is a 100% remote, full-time position supporting a growing company in the commercial services industry across multiple departments, including Operations, Billing, and Customer Communication. Working hours: 6:00 AM – 2:00 PM PT (9:00 AM – 6:00 PM EST).

Key Responsibilities

• Execute and monitor administrative tasks across departments, ensuring all requests are handled within established timelines.
• Maintain accurate data entry and update records in CRM and internal systems.
• Respond to customer and internal inquiries via email and chat in a professional and timely manner.
• Coordinate scheduling, follow-ups, and documentation to keep operations running smoothly.
• Ensure customer files, notes, and records remain organized and accessible at all times.
• Prepare clear, error-free customer-facing documentation and reports.
• Identify potential issues or delays and escalate them to the appropriate coordinator.
• Other similar or related tasks.

Qualifications

• Fluent English (C1/C2) and Spanish.
• 2 – 5 years of experience in operations, administrative support, or customer-facing roles.
• Comfortable working with minimal supervision and managing multiple priorities simultaneously.
• Ability to make light decisions and adapt to partially documented or evolving workflows.
• Experience with Asana, Notion, Trello, or similar project management tools is a plus.
• Proficiency with Google Workspace and Microsoft Office.
• Excellent communication and problem-solving skills.
• Quiet home office, stable internet (≥ 10 Mbps down / 2 Mbps up), and backup connection.
• Bachelor's or Associate's degree preferred.
