Role Description

The Breezeway Dispatcher is responsible for managing housekeeping, maintenance, and inspection tasks within the Breezeway platform.

• Task Management: Monitor, track, and assign/re-assign all tasks.
• Scheduling & Dispatching: Ensure accurate schedules and task details for cleaners, maintenance personnel, and inspectors.
• Quality Control: Review tasks to verify compliance with company standards.
• Communication & Liaison: Maintain clear communication with field teams, vendors, and internal departments.
• Data Accuracy & Reporting: Update records and provide reports on task completion and outstanding issues.
• Process Improvement: Identify opportunities for operational efficiency.
• Vendor Onboarding: Assist with vendor onboarding processes.

Workflow

1. Issue Received:
   • Source: Reported by the guest.
   • Action: Log the issue in Breezeway.
   • Priority Levels:
     • High: Urgent tasks (same day completion).
     • Medium: Non-urgent tasks (1-3 days).
     • Low: Restocking and future scheduled tasks.
2. Dispatcher Reviews the Details:
   • Photos: Review attached photos for context.
   • Urgency & Priority: Confirm task priority.
   • Assignment: Determine responsible team member.
   • Category: Assign category (e.g., Maintenance, Housekeeping).
   • Description: Ensure clear issue description.
   • Due Date: Set or confirm expected completion time.
3. Communication & Coordination:
   • Notify the assigned team via Breezeway, Slack, or direct message.
   • Contact external vendors for scheduling and estimates.
   • Update the guest with an estimated resolution timeline if guest-related.
4. Task Execution:
   • Assigned personnel completes the task and uploads photos and notes.
   • Dispatcher tracks overdue tasks and follows up as needed.
5. Quality Check & Verification:
   • Dispatcher reviews photos or proof of task completion.
   • Concierge updates the guest on the status of the task.
6. Task Closure & Documentation:
   • Mark the task as complete if resolved.
   • Document recurring issues for further action.
7. Post-Resolution Follow-Up:
   • If guest-initiated, follow up for satisfaction.
   • Close the task if satisfied; reopen if unresolved.

Qualifications

• Exceptional organizational and multitasking abilities.
• Proficiency in Breezeway software.
• Tech-savvy and comfortable using multiple systems.
• Strong attention to detail and follow-through.
• Fluent in English (spoken and written).
• Strong phone presence and ability to remain composed under pressure.
