Role Description
Coordinate surgical organ recoveries from scheduling through completion in collaboration with surgical teams, donor hospitals, OPOs, and partners.

Manage recovery timelines, including scheduled start times, cross-clamp windows, recovery milestones, and completion.

Coordinate air and ground transportation for surgical teams, including flights/charters, ground transfers, and contingency planning.

Communicate real-time updates, ETAs, and changes to surgical teams and operational leads.

Provide operational support during assigned scheduled call days and assist with troubleshooting delays or disruptions per escalation pathways.

Coordinate post-recovery organ transport, including timing confirmation, handoff logistics, and required documentation.

Ensure accurate communication of transport methods, departure and arrival times.

Activate and manage backup transport plans when needed, escalating time or transport sensitive issues promptly.

Serve as an operational point of contact for: surgical recovery teams, donor hospitals, OPO partners, and transportation vendors.

Communicate clearly, accurately, and professionally in high-pressure situations.

Escalate issues, risks, or delays to leadership and surgical team promptly.

Collect, organize, and document operational data related to each recovery, including but not limited to: scheduling details, transportation timelines, and key recovery milestones.

Maintain accurate documentation to support case tracking, operational reporting, and quality review.

Participate in post-case debriefs as requested.
Qualifications

High School Diploma or GED equivalent Required.

Demonstrated familiarity with the organ recovery process and surgical recovery workflows Required.

Experience working in or supporting organ recovery operations, transplant services, and or surgical or healthcare logistics Required.

Exceptional organizational skills with strong attention to detail Required.

Strong written and verbal communication skills Required.

Willingness to work non-traditional hours, including on-call coverage Required.

Prior experience coordinating surgical schedules, medical or transplant transportation Preferred.

Exposure to transplant or recovery regulatory environments (operational knowledge) such as UNOS preferred.

Experience in high-acuity healthcare operations or logistics roles preferred.

Ability to coordinate multiple concurrent workstreams in real time.

Strong scheduling and task prioritization skills in high-acuity environments.

Ability to track complex timelines and adjust plans quickly when conditions change.

Excellent verbal and written communication skills; ability to communicate calmly and effectively under pressure.

Exceptional organization skills with strong attention to detail.

Proficiency in documentation systems and operational tracking tools.

Ability to identify operational risks or delays early.

Ability to follow established escalation pathways during time-sensitive situations.
