This role supports a cardiology healthcare practice that provides state-of-the-art, comprehensive cardiac services to adult and geriatric patients.
The practice is seeking a full-time Medical Virtual Assistant to provide receptionist and administrative support. This role plays a key part in ensuring smooth front-office operations, reliable patient communication, and timely insurance-related processes.
Key Responsibilities:
Insurance verification (primary responsibility)- Handled proactively, ideally one to two weeks prior to scheduled appointments
- Typically completed during designated slower periods of the day or on specific days once schedules are set, rather than on the day of the visit
Appointment scheduling, confirmations, and day-before reminder calls (incoming and outgoing calls)Receptionist and front-office administrative support, including answering and managing calls via a VoIP phone system, assisting patients with general inquiries and follow-ups, supporting the in-office team, and integrating seamlessly into daily clinic workflows - The VA should be able to remind patients of balances due and communicate payment expectations clearly, without providing detailed billing explanations
Pre-coding assistance within eClinicalWorks (ECW) Other administrative assistance as neededMaintaining HIPAA compliance and patient confidentiality
- At least 1 year of relevant experience as a Medical Virtual Assistant, medical receptionist, or in healthcare administrative support
- Experience using ECW / eClinicalWorks (preferred)
- Experience working with a cardiology healthcare practice (preferred)
- Experience and comfort discussing financial matters with patients (preferred)
- Clear, professional spoken and written English with minimal accent required for phone interactions
- Strong customer service and communication skills
- Strong organizational and scheduling abilities
- Ability to submit an NBI Clearance and/or Local Police Clearance prior to onboarding (mandatory)
- Availability for video meetings with camera on, when required
