Role Description

• Answer incoming patient and referral calls in a warm, professional and compassionate manner.
• Respond to general enquiries about appointments, referrals, fees and practice processes.
• Ensure patients feel heard, supported and well looked after from their first contact with the practice.
• Respond to patient and referrer emails promptly and professionally.
• Set up new patient profiles and maintain accurate information in Halaxy.
• Assist with bookings, referrals and general administrative tasks.
• Communicate closely with other administration team members to ensure smooth follow-up and continuity.
• Recognise when clinical, urgent or sensitive enquiries need to be escalated appropriately.
• Complete email and administrative work during quieter periods between calls.
• Maintain strict patient confidentiality and privacy at all times.
