[Hiring] Intake Coordinator, Behavioral Health @Helm

Role Description

We’re looking for an Intake Coordinator & Administrative Support professional to join our growing team at The Coordinators! You’d be working remotely with our client in the Behavioral Health space.

In this role, you will serve as the first point of contact for individuals reaching out to a behavioral health agency that provides crisis support, substance abuse programs, community stabilization, and mental health skill building services. The role is approximately 85% intake and coordination and 15% administrative support.

• Answer inbound calls from individuals seeking services with warmth, patience, and professionalism.
• Guide callers through the intake and enrollment process for behavioral health programs and services.
• Verify insurance eligibility and benefits for new and existing clients.
• Obtain and track service authorizations as required by insurance payers.
• Collect and enter client information accurately within the agency’s EMR system (Notable).
• Coordinate intake scheduling and follow up with prospective clients to complete enrollment.
• Maintain organized intake records and spreadsheets to track referrals, authorizations, and enrollment status.
• Send and respond to emails professionally and promptly.
• Support general administrative tasks (approximately 15% of the role) as assigned.
• Deliver a compassionate, relatable experience to every caller, recognizing that many are reaching out during moments of crisis.

Qualifications

• Intake coordination, front office, or patient-facing healthcare experience (required).
• Near-native spoken English with a clear, warm, and relatable phone presence (required).
• Experience with insurance verification and authorizations.
• Strong customer service and interpersonal skills, with genuine empathy for individuals in crisis.
• Proficiency with spreadsheets and email communication.
• Experience with Notable (preferred) — or agility working across multiple EMR systems with the ability to learn new platforms quickly.
• Behavioral health, mental health, or substance abuse program experience (preferred).
• Bilingual English/Spanish (a plus, not required).
• Excellent written and spoken English with professional communication.
• Highly organized with strong attention to detail and follow-through.
• Tech-savvy and effective in a remote work environment.
• High integrity and ability to handle sensitive client information.
• High ethical standards, professionalism, and respect in all client interactions.
• Willingness to learn, grow, and develop yourself professionally.

Requirements

• Full-time, Monday–Friday, 8:00 AM – 5:00 PM EST (with lunch break).
• Pay Range: $1,000 – $1,400 per month (depending on experience).
• Equipment: BYO devices.
