Role Description

As the Healthcare Staffing Account Coordinator, you will manage every placement from the moment a recruiter submits a provider through shift completion, payment, and potential contract extension. You will serve as the operational bridge connecting recruiters, hospital clients, and clinicians—ensuring every date, timesheet, travel booking, credentialing milestone, and pay calculation is accurate down to the cent.

Key Responsibilities

• VMS & Client Account Management: Submit provider profiles and manage client accounts daily in Vendor Management Systems (VMS); respond to hospital inquiries and confirm assignment dates in writing.
• Travel & Logistics Coordination: Book complete corporate travel itineraries for clinicians—including flights, lodging, and rental cars—strictly following client travel policies.
• Timesheets, Billing & Pay Prep: Collect weekly contractor timesheets, track down client approvals, and prepare precise provider pay statements (reviewing hours, rates, mileage, and expenses down to the cent).
• Communication Hub: Act as the direct operational link between recruiters and hospital clients via email and messaging platforms to keep communications moving without delay.
• Credentialing & Interview Support: Partner with the credentialing team to track file milestones ahead of start dates, schedule provider interviews across time zones, and ensure same-day follow-ups.
• Process Discipline: Adhere to established checklists and internal procedures, maintaining daily proactive check-ins to anticipate and resolve roadblocks early.

Qualifications

• Flawless English & Communication: Exceptional written and verbal English skills with the confidence to communicate daily with hospital leaders and physicians.
• Numerical Precision: Skilled at reviewing hours, rates, mileage, and expenses against contracts, identifying minor discrepancies with extreme accuracy.
• Process Discipline & Organization: High attention to detail with a track record of following established checklists and managing complex, multi-step workflows.
• Schedule Alignment: Full-time availability during US Eastern Business Hours (9 AM – 5 PM ET).
• Data Compliance: Comfortable handling confidential provider data and signing a Non-Disclosure Agreement (NDA).

Requirements

• Prior experience in US healthcare staffing (Locum Tenens, travel nursing, or allied staffing).
• Familiarity with Vendor Management Systems (VMS) or client portals (e.g., SAP Fieldglass, Beeline, Workday VNDLY, ShiftWise, Medefis, LocumSmart, Aya Connect).
• Hands-on experience processing contractor timesheets and booking corporate travel.
• Proficiency in leveraging AI tools within structured workflows to enhance productivity.

Benefits

• Salary: $2,000 – $2,500 USD / month.
• Work Schedule: Monday to Friday, 9:00 AM to 5:00 PM (Eastern Time).
