Role Description
We are currently looking for a Admin Assistant β US Healthcare to join our growing team and support one of our valued clients β a well-established US-based organization dedicated to empowering young adults with intellectual and developmental disabilities (IDD), autism, and similar conditions through specialized skill development and socialization programs.
As part of the team, youβll play a key role in supporting day-to-day administrative operations and helping maintain accurate records that directly support service delivery.

Administrative Support

Maintain and organize internal records, files, and important documentation

Assist with compliance-related paperwork and report preparation

Coordinate schedules and manage general administrative correspondence

Service Delivery Log Management
-
Prepare, review, and maintain accurate service delivery logs
-
Follow up on missing or incomplete documentation to ensure timely submission

Organize and file completed records for proper tracking and compliance purposes

Invoicing & Billing Support
-
Prepare and process invoices based on completed service records
-
Track billing details and assist with reconciliation when needed

Maintain accurate invoice records and transaction documentation

Attendance Tracking & Reporting
-
Monitor participant attendance records consistently

Generate attendance reports and identify discrepancies for review
-
Ensure attendance data is properly aligned with service and billing records
Qualifications
-
2β4 years of experience working as a General Virtual Assistant, Administrative Assistant, or in a similar remote support role

Strong organizational skills with exceptional attention to detail

Ability to manage recurring administrative processes accurately and consistently

Excellent written communication and professional correspondence skills

Comfortable working independently while staying accountable to deadlines
Requirements

Comfortable working with Google Workspace (Docs, Sheets, Drive, Calendar, Gmail) or Microsoft 365 (Excel, Outlook, Word, Teams)

Experience with Asana for task management and workflow coordination

Familiarity with QuickBooks or similar invoicing/accounting platforms (a strong advantage)

Proficient with video communication tools such as Zoom, Google Meet, or similar platforms
