Role Description
We are looking for a bilingual, organized, detail-oriented, and proactive Medical Virtual Assistant to join GlobalTeam and work with our client. In this role, you will support patient communication, appointment scheduling, insurance verification, medical billing, claims management, and administrative operations. You’ll work closely with the practice owner and physical therapists to ensure patient requests are resolved, appointments are coordinated efficiently, insurance requirements are tracked, and billing activities are completed accurately.
Key Responsibilities

Coordinate scheduling between patients and physical therapists by confirming therapist availability, communicating available appointment times, and booking appointments in the scheduling system.

Manage patient communication through Spruce Health, including appointment reminders, follow-ups, check-ins, and patient re-engagement.

Ensure patient questions and requests are followed through until fully resolved.

Answer incoming calls and messages professionally in both English and Spanish.

Verify insurance eligibility, benefits, and coverage before patient appointments.

Enter and maintain accurate patient information in the practice management system.

Manage the billing cycle, including posting insurance and patient payments, submitting claims, following up on unpaid or denied claims, and tracking outstanding balances.

Complete Medical Necessity Reviews (MNRs) for Cigna patients every 5–10 visits and proactively track upcoming requirements.

Track authorized visits and insurance plan limits and notify therapists before patients reach their limits.

Assist with credentialing documentation, payer portal tasks, and out-of-network reimbursement forms as needed.

Maintain accurate records of claims, payments, denials, balances, authorizations, and MNRs.

Prepare a weekly summary for the practice owner covering submitted claims, open denials, outstanding balances, and upcoming MNR requirements.
Qualifications

Previous experience or working knowledge of medical billing, insurance verification, and insurance claims submission.

Experience working with an EMR or medical practice management system.

Proficient English communication skills at a B2+ level and fluent Spanish.

Strong verbal and written communication skills with the ability to interact professionally and empathetically with patients.

Strong attention to detail when managing patient information, insurance documentation, claims, and payments.

Ability to independently track recurring deadlines, authorizations, claims, and follow-up activities.

Strong organizational, prioritization, and follow-through skills.

Comfortable working remotely with minimal supervision.

Stable internet connection and a reliable remote-work setup.

Willingness and ability to learn Jane App and the practice’s billing system.
