Role Description

The Associate Director, EMR/EHR Provider Recruitment and Medical Documentation is responsible for leading the strategy, implementation, and ongoing performance of provider onboarding, electronic medical record/electronic health record connectivity, and medical documentation operations in support of the VA contract. This role oversees teams responsible for recruiting and enabling provider participation in documentation exchange workflows, supporting document submission readiness, and ensuring medical documentation processes are compliant, timely, complete, and operationally sustainable.

This leader is accountable for establishing and optimizing the end-to-end operating model for provider participation in medical documentation exchange, including onboarding new providers and practices, supporting documentation workflow adoption, and improving submission, retrieval, indexing, and compliance performance. The role ensures providers are prepared to meet requirements for documentation completeness, authentication, critical findings communication, and timely return of records.

The Associate Director partners closely with provider recruitment, operations, clinical, claims, process improvement, compliance, reporting, and technology teams to align provider engagement strategies and documentation workflows with contractual obligations, care coordination needs, and service delivery expectations. This role also helps ensure that documentation-related processes support continuity of care, referral management, claims adjudication, and audit readiness.

This position provides leadership for teams responsible for provider recruitment and engagement related to documentation participation, as well as teams supporting medical documentation processes, controls, issue resolution, and performance improvement. The Associate Director is expected to identify risks, remove barriers to provider adoption, improve operational consistency, and drive measurable improvements in documentation return compliance and overall provider readiness.

The role exercises a high degree of independent judgment in managing complex operational, provider, and documentation issues and works with minimal supervision to determine priorities, methods, and solutions that support contract performance and organizational goals.

  • Lead teams responsible for provider recruitment, onboarding, and participation in electronic medical record/electronic health record and medical documentation workflows.
  • Oversee the end-to-end medical documentation process to support timely, complete, accurate, and compliant record submission and exchange.
  • Develop and execute strategies to improve provider adoption, readiness, and performance related to documentation return requirements and connectivity capabilities.
  • Partner with operational, clinical, compliance, claims, process improvement, and technology teams to align provider and documentation processes with contractual and business requirements.
  • Monitor documentation compliance, provider performance, and operational trends; implement corrective actions and continuous improvement plans as needed.
  • Ensure processes support critical findings communication, continuity of care, referral management, and downstream claims and reimbursement activities.
  • Establish and maintain scalable workflows, controls, and standard operating procedures for provider engagement and medical documentation operations.
  • Advise leadership on risks, barriers, and opportunities related to provider recruitment, documentation performance, and operational readiness.

Qualifications

  • Bachelor's degree in healthcare administration, business, operations, health information management, or a related field. Or equivalent professional experience.
  • 7+ years of progressive experience in healthcare operations, provider network management, medical documentation, or implementation leadership.
  • 3+ years of leadership experience managing teams responsible for provider onboarding, recruitment, medical documentation, or related operational functions.
  • Experience working in regulated healthcare environments with responsibility for compliance, documentation timeliness, and operational performance.
  • Experience partnering across provider recruitment, operations, clinical, claims, compliance, and technology teams to implement and improve end-to-end processes.

Requirements

  • Experience supporting government healthcare programs, including VA, TRICARE, Medicare, or Medicaid.
  • Experience with provider onboarding and electronic medical record/electronic health record connectivity or documentation exchange workflows.
  • Experience leading medical documentation compliance, record return performance, or provider engagement initiatives in a large, multi-state healthcare environment.

Benefits

  • Medical, dental and vision benefits.
  • 401(k) retirement savings plan.
  • Time off (including paid time off, company and personal holidays, paid parental and caregiver leave).
  • Short-term and long-term disability.
  • Life insurance and many other opportunities.
