Role Description
The Marketing Event Planner is a strategic, self-directed professional responsible for the end-to-end planning, execution, and optimization of UBCโs conference and event portfolio. We are looking for a seasoned professional who can independently manage a complex, high-volume events program and serve as the primary point of contact for conference-related activities across the organization. The Marketing Event Planner will evaluate event ROI, develop data-driven recommendations, and ensure that every conference activation supports UBCโs market positioning and growth goals.

Own and continuously update the annual conference and event pipeline/calendar across all UBC business segments; track emerging venues and events and ensure Leadership and Sales have visibility into the collective opportunity.

Evaluate event ROI using quantitative and qualitative metrics; make data-driven recommendations on which events to invest in, scale, or sunset.

Manage all logistical elements for conferences, tradeshows, advisory boards, and corporate meetings, including booth design, vendor coordination, travel logistics, and on-site execution.

Coordinate with internal stakeholders across Sales, Marketing, and business segment leadership to align messaging, booth staffing, and sales enablement materials for each event.

Oversee relationships with event vendors, venues, and third-party suppliers; negotiate contracts and manage budgets to maximize value.

Ensure compliance with applicable industry regulations and company policies for all events, particularly those involving healthcare professional engagement or promotional activities.

Serve as the central point of contact for all event-related inquiries, building trust and streamlining communication with cross-functional teams.

Collaborate with content and digital marketing teams to develop pre-event promotions, on-site materials, and post-event follow-up campaigns.

Brief executives and sales teams ahead of conferences, providing competitive intelligence, talking points, and meeting schedules.

Track and report on event performance against defined KPIs, including lead generation, attendee engagement, cost-per-lead, and post-event pipeline impact.

Conduct post-event debriefs; capture learnings and optimization opportunities and translate them into actionable recommendations for future events.

Develop and maintain standardized event playbooks, checklists, SOPs, and core materials (tools, decks, links, agendas) to enable consistent, efficient execution and collaboration with internal teams and SMEs.

Proactively bring forward new ideas and differentiated participation recommendations (e.g., activations, thought leadership, giveaways) so UBC stands out as event formats and best practices evolve.

Manage event marketing budget, invoice reconciliation, and expense tracking with transparency and accountability.
Qualifications

Bachelorโs degree in Marketing, Communications, Hospitality Management, Business Administration, or related field.

5โ7 years of event planning and management experience, with demonstrated ownership of a high-volume event portfolio (20+ events annually).

Experience within the healthcare, life science, or regulated industries (B2B or B2C) preferred.

Excellent organizational and project management skills with strong ability to manage many deliverables and timelines simultaneously to meet deadlines and stay on-budget.

Must excel in fast-paced, entrepreneurial atmosphere and have a growth mindset to pivot quickly with new direction.

Natural ability for proactive outreach to various stakeholders and willingness to foster strong partnerships; demonstrated ability to build consensus across functions without direct authority.

Must have strong communication and presentation skills with the ability to brief senior leadership and cross-functional teams.

Strong budget management skills, including vendor negotiation, cost tracking, and ROI analysis.

Experience with event management software (e.g., Cvent), project management platforms (e.g., Smartsheet, Wrike, Monday.com), and marketing automation tools (e.g., HubSpot).

Knowledge of customer relationship management platform (i.e. Salesforce) a plus.

CMP (Certified Meeting Professional) or CSEP (Certified Special Events Professional) certification a plus.

Experience managing agency relationships related to event production or booth design a plus.

Familiarity with hybrid and virtual event platforms and formats.

Proficient with Microsoft Office, Canva, and project management tools.

Travel up to 20% required, including occasional weekends for on-site event support.
