Role Description

We are seeking a highly organized and proactive Executive Assistant & Marketing Coordinator to provide comprehensive marketing and business development support to the firm’s Principal. This full-time remote role is structured as a contract position. The successful candidate will coordinate marketing and business development initiatives, while occasionally providing administrative support to the CEO. The ideal candidate is detail-oriented, professional, and capable of balancing multiple priorities in a fast-moving, cross-time-zone environment.

Key Responsibilities

  • Business Development & Marketing Coordination:
    • Prepare and submit proposals, and marketing presentations.
    • Coordinate outreach campaigns and follow-ups with potential clients and partners.
    • Maintain CRM records and business development trackers.
    • Create and manage Marketing Campaigns, suggestions for marketing and sourcing material.
    • Identify and follow up on leads for prospective clients to maintain momentum.
    • Identify the correct person in key group areas to approach for business.
  • Marketing Production & Communications:
    • Develop and update marketing materials (firm profiles, resumes, project sheets).
    • Manage and curate content for social media (LinkedIn, Instagram, Facebook, X, etc.).
    • Create and edit visual content using Adobe InDesign, Illustrator, Photoshop, or Canva.
    • Ensure consistency of branding across all firm communications.
    • Maintain website content and monitor engagement metrics.
  • Executive Support:
    • Organize and coordinate meetings via Teams or Skype.
    • Prepare agendas, meeting notes, and follow-ups; organize both virtual and in-person meetings.
    • Maintain and track project files, deliverables, and proposal deadlines.
    • Handle confidential information with discretion and professionalism.
    • Build and maintain professional client relationships.

Qualifications

  • Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
  • Equivalent professional diploma or certification (e.g., CIM, IMM, or Commonwealth-accredited equivalent) will be considered.
  • 2–5 years of experience as an Executive Assistant, Marketing Coordinator, or Business Development Assistant, preferably in professional services, construction, architecture, or consulting.
  • Proven ability to manage both executive administrative functions and business development initiatives concurrently.

Requirements

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop) or Canva.
  • Familiarity with CRM and email marketing platforms (HubSpot, Salesforce, Mailchimp).
  • Competence with remote collaboration tools (Teams, Zoom, SharePoint).
  • Understanding of digital marketing principles and social media analytics.
