[Hiring] Property & Legal Operations Manager @Outsourcing Advantage

Role Description

Outsourcing Staffing Advantage is seeking a Property & Legal Operations Manager (Bilingual French - English) to play a critical role in managing property operations and legal processes. This individual will ensure smooth lease renewals, timely rent collection, and the effective handling of legal matters through strong attention to detail and a proactive approach. The role serves as the primary point of contact for tenants, attorneys, and courts, maintaining organized records and clear communication trails that support legal proceedings.

• Immediate Court File Readiness:
  • Prepare the entire evidence folder immediately when a legal file is opened.
  • Organize all documents, proof of service, and lease copies to be "court-ready" the moment the case starts.
• Proactive Lease Renewals:
  • Monitor lease expirations daily.
  • Prepare and send out renewal notices at least 5 months before the end date to ensure zero missed deadlines.
• Strict Rent Collection:
  • Monitor building software daily.
  • On the 2nd of the month, send firm reminders via text and email.
  • Maintain a clear "paper trail" of all communications for legal proof.
• Legal & Bailiff Coordination:
  • File cases with the court for non-payment or lease violations.
  • Manage the bailiff (huissier) process and keep a detailed log of what was sent and when it was served.
• Vacancy Management:
  • Maintain a real-time Google Sheet of vacant units and upcoming move-outs.
  • Respond immediately to tenants trying to break leases, making it clear they remain fully responsible for the contract.

Qualifications

• Bilingualism: Fluent in both English and French (mandatory for legal filings).
• Strong Organizational Skills: Able to independently manage both their own calendar and the court’s calendar without requiring reminders.
• Professional & Firm Communication: Capable of handling difficult conversations with tenants while maintaining a professional, firm, and composed approach.
• Proactive Mindset: Anticipates potential issues in advance and takes initiative to prepare solutions (e.g., planning ahead for vacancies or operational needs).
