Role Description
This Entry Level Paralegal role exists to support attorneys and senior paralegals across the full immigration case lifecycle. You will help organize case files, prepare immigration-related documentation, coordinate client communication, and maintain accurate records across multiple legal and CRM platforms.
The role is highly execution-focused and detail-intensive, requiring someone who is organized, proactive, tech-savvy, and eager to learn. You’ll work closely with senior legal professionals while operating within a structured training environment designed to help you grow into immigration law operations and case preparation.

Core Responsibilities

Case File Building & Maintenance — 35%

Build and maintain organized digital client files within SharePoint and related systems

Save, label, and organize incoming client documents following firm naming conventions

Update and maintain accurate case records in Salesforce and Docketwise

Ensure all active matters are properly documented and accessible to the legal team

Monitor document completeness and follow up on missing case materials

USCIS Form & Document Drafting — 25%

Draft immigration-related government forms under supervision
-
Prepare exhibit lists and petition support documentation
-
Assist with notice of filing and public access file preparation
-
Support attorneys and senior paralegals with petition assembly workflows
-
Review documentation for completeness and accuracy before submission

Client Communication & Coordination — 20%

Communicate with clients regarding document requests, reminders, and status updates

Coordinate document collection and follow-up via email and virtual communication channels

Join attorney-client Zoom calls to take notes and surface relevant case details

Handle basic non-legal client inquiries and escalate legal matters appropriately

Maintain professional, timely, and client-friendly communication standards

Tool & Process Mastery — 15%

Operate within Microsoft 365, Teams, Adobe, Salesforce, Docketwise, and SharePoint

Utilize AI tools such as Claude and Perplexity to support drafting and research workflows

Follow structured onboarding and training processes

Adapt quickly to new systems, legal workflows, and operational changes

Maintain accuracy and efficiency across digital legal operations

Qualifications
-
1–3 years of administrative, operations, legal support, or office experience
-
Excellent written and verbal English communication skills

Strong attention to detail and ability to apply feedback consistently

Strong critical thinking and problem-solving abilities

Highly proactive and self-directed learning mindset

Comfort working in fast-paced, high-accountability environments

Strong internet connection and reliable remote work setup

Proficiency with productivity tools and cloud-based software platforms

Ability to manage multiple tasks and maintain organized workflows

Bachelor’s degree in Legal Studies or a related field, or equivalent professional experience
Nice-to-Haves

Prior U.S. immigration law or USCIS-related experience

Previous law firm experience in any practice area
