Role Description
We are currently seeking a highly organized and detail-oriented Remote Legal Assistant to join our team. This position is open exclusively to candidates located outside of the United States. Fluency in both English and Spanish is required.
The Remote Legal Assistant will provide administrative and case support services to personal injury law firms and legal professionals. This role requires strong organizational skills, excellent communication abilities, and the ability to manage multiple priorities in a fast-paced remote environment.
The ideal candidate is proactive, dependable, detail-oriented, and comfortable working independently while collaborating with attorneys, case managers, and support staff across multiple firms.
Key Responsibilities

Case Support

Assist attorneys, paralegals, and case managers with day-to-day case administration.

Maintain accurate and organized electronic case files.

Review, organize, and upload client records, medical records, billing statements, and other case-related documentation.

Track outstanding records requests and follow up with medical providers, insurance companies, and other third parties.

Assist with preparing case summaries, chronologies, and supporting documentation.

Administrative Support

Manage calendars, appointments, deadlines, and task assignments.

Schedule client meetings, consultations, and case-related appointments.

Coordinate communications between clients, law firms, medical providers, and insurance representatives.

Monitor email correspondence and ensure timely follow-up on pending matters.

Support attorneys and legal staff with various administrative and operational tasks.

Document Management

Draft, proofread, edit, and format correspondence and legal-related documents.

Prepare letters, forms, requests, and other case-related communications.

Ensure documents are accurately filed and maintained within case management systems.

Maintain document organization and quality control standards.

Client Communication

Communicate professionally with clients in both English and Spanish.

Gather information, answer routine questions, and provide status updates as directed.

Deliver exceptional customer service while maintaining confidentiality and professionalism.

Assist in building positive client relationships through timely and courteous communication.

Records & Provider Coordination

Request and follow up on medical records, billing records, police reports, and other supporting documentation.

Communicate with healthcare providers, facilities, and insurance carriers regarding records and case-related information.

Verify receipt of requested documentation and maintain tracking logs.

Work Schedule

Full-time remote position

Requirements

Fluent in English and Spanish (written and verbal).

Minimum of 1 year of experience in a legal, administrative, case management, or professional support role.

Preferred Qualifications

Previous experience working in a personal injury law firm.

Experience as a Legal Assistant, Case Manager, Intake Specialist, Records Specialist, or Paralegal.

Familiarity with medical records, insurance claims, and personal injury case workflows.

Experience using legal case management systems such as Filevine, CasePeer, Litify, Clio, Needles, or similar platforms.

Proficiency with Microsoft Office, Google Workspace, and cloud-based collaboration tools.
