Role Description
At Pavago, one of our clients is hiring a Contracts Administrator to manage the complete contract lifecycle—from intake and drafting through execution, renewals, compliance tracking, and reporting. This is a highly detail-oriented, process-driven role responsible for ensuring contracts move efficiently, accurately, and compliantly across Legal, Sales, Procurement, Finance, Security, and Executive teams.

Manage contracts from intake through drafting, review, approval, execution, storage, renewals, and reporting.

Ensure agreements are accurate, compliant, fully executed, searchable, and audit-ready.

Maintain contract repositories and ensure complete documentation throughout the contract lifecycle.

Draft, review, and manage agreements including:
-
NDAs
-
DPAs
-
Statements of Work (SOWs)
-
Master Service Agreements (MSAs)
-
Vendor Agreements
-
Order Forms
-
Partner and Reseller Agreements
-
Redline contracts using Microsoft Word Track Changes.
-
Escalate non-standard legal terms involving indemnification, limitation of liability, intellectual property, data privacy, termination clauses, and service level agreements.

Maintain deviation logs, approval records, and contract history.
-
Coordinate contract approvals across Legal, Finance, Procurement, Security, Information Security, Sales, and Executive teams.

Verify commercial terms align with pricing and business requirements.

Ensure vendor onboarding documentation is complete, including:

W-9 forms
-
Certificates of Insurance (COIs)
-
Banking information
-
Compliance documentation
-
Manage electronic signature workflows using DocuSign or Adobe Sign.
-
Verify signer authority, signature blocks, and execution completeness.
-
Maintain agreements within CLM platforms such as Ironclad, Icertis, Agiloft, ContractWorks, Conga, SharePoint, or similar systems.

Ensure metadata remains accurate, including contract value, effective dates, renewal terms, jurisdiction, and privacy addenda.

Track contract renewals, notice periods, pricing changes, deliverables, and contractual obligations.

Send proactive renewal reminders to internal stakeholders.

Support compliance with GDPR, CCPA, HIPAA, PCI-DSS, SOX, and other applicable regulatory requirements.

Maintain organized, audit-ready documentation and approval records.

Prepare reports covering:

Contract cycle times
-
SLA performance
-
Renewal pipeline
-
Contract deviations
-
Standard versus non-standard agreements
-
Improve contract templates, clause libraries, approval workflows, and CLM processes.

Help scale legal operations through workflow automation and documentation improvements.
Qualifications

Highly organized with exceptional attention to detail.

Strong communicator who collaborates effectively across multiple departments.

Able to identify contractual risks, inconsistencies, and missing information quickly.

Requirements
-
2+ years of experience in Contracts Administration, Legal Operations, or Contract Coordination.
-
Hands-on experience with CLM platforms such as Ironclad, Icertis, Agiloft, ContractWorks, Conga, SharePoint, or similar systems.

Strong proficiency with:

Microsoft Excel or Google Sheets

PDF editing software

Working knowledge of:
