Role Description

Ascension Business Solutions LLC is seeking reliable, coachable, and process-driven Virtual Assistants to join our growing team supporting U.S.-based healthcare and professional service clients. The Virtual Recruiter is responsible for executing structured recruitment processes to support client and internal hiring needs. This role manages candidate sourcing, screening, interview coordination, and onboarding support within defined systems and workflows.

The role requires excellent communication skills, strong organizational abilities, and a passion for connecting people with the right opportunities. The Virtual Recruiter also serves as a bridge between applicants, hiring managers, and clients, helping maintain efficient staffing operations and high client satisfaction.

Key Responsibilities

  • Recruitment Execution & Sourcing
    • Manage assigned stages of the recruitment lifecycle, including:
      • Candidate sourcing
      • Application screening
      • Interview coordination
      • Onboarding documentation support
    • Source candidates through approved job boards, databases, referrals, and outreach channels
    • Screen applicants against documented role requirements and deal-breaker criteria
    • Maintain active and accurate candidate pipelines for current and future openings
    • Schedule interviews and communicate next steps clearly with candidates
    • Handle candidate and client information with confidentiality and professionalism
  • Candidate & Client Communication
    • Serve as the primary point of contact for candidates throughout assigned stages of the process
    • Provide timely updates to clients and internal stakeholders on recruitment status
    • Communicate expectations clearly and consistently to avoid misalignment
    • Escalate concerns, delays, or process gaps to leadership as needed
  • Process Adherence & Documentation
    • Maintain accurate records in the ATS, trackers, and recruitment dashboards
    • Document candidate outcomes, interview feedback, and next steps
    • Prepare End-of-Day (EOD) or shift reports outlining:
      • Pipeline status
      • Interview outcomes
      • Risks, delays, or blockers
    • Follow all data privacy, confidentiality, and compliance standards
  • Collaboration & Continuous Improvement
    • Work closely with HR, Training, and Client Success teams to align hiring outcomes
    • Apply feedback from clients and leadership to improve sourcing quality and screening accuracy
    • Support recruitment initiatives and hiring goals using approved strategies
    • Remain organized and responsive during high-volume hiring periods

Qualifications

  • Graduate of a 4-year course or a Bachelor’s degree
  • Excellent English communication skills (written and verbal)
  • Strong attention to detail, follow-through, and time management
  • Ability to work independently while following structured processes and SOPs
  • Familiarity with Google Workspace, Microsoft Office, Slack, and similar tools
  • Willing to work an 8-hour graveyard shift - PH Time, aligned with U.S. business hours
  • Stable internet connection (Minimum of 100MBPS for Download Speed; Minimum of 50MBPS for Upload speed) and reliable computer equipment (Minimum of Intel Core i5 or equivalent with minimum 8GBs of RAM) - With backup device.
  • Professional, coachable, and open to feedback and role reassignment as needed

Preferred Qualifications

  • Prior experience as a Virtual Assistant supporting U.S.-based clients
  • Experience using Applicant Tracking Systems (ATS) and online sourcing platforms
  • Experience in healthcare support, home care, recruitment, sales, scheduling, or operations
  • Ability to adapt across different support functions based on training and performance
  • Knowledge of data privacy standards (HIPAA/PHI awareness is a plus)

Training & Performance Expectations

  • All Virtual Assistants undergo structured onboarding and role-based training
  • Client-specific systems, workflows, and standards are taught during onboarding
  • Ongoing coaching, performance reviews, and feedback are part of the role
  • Success is measured by accuracy, reliability, communication, and adherence to process

Career & Compensation Growth

Team members who demonstrate consistent performance, reliability, and alignment with ABS standards may be eligible for compensation growth over time. Based on performance and role alignment, there is a strong potential to reach a monthly salary of up to ₱39,000 or more after one (1) year of continuous employment.

Note: Salary growth is performance-based and not guaranteed.
