Role Description

Client is seeking an experienced and detail-oriented Leave of Absence (LOA) Specialist to manage our North American leave programs. You will serve as the initial point of contact for all leave-related inquiries, ensuring a seamless coordination with external leave vendors and a supportive experience for our employees in the country and Canada. This is a contract position focused on maintaining high standards of compliance, accuracy in payroll, and employee experience.

Key Responsibilities

• Vendor Relationship Management
  • Primary Liaison: Serve as the main point of contact and administrator for our leave vendors: Sparrow (US) and Acclaim (Canada).
  • Service Delivery: Ensure high service levels, timely responses, and accuracy from third-party administrators.
  • Audit & Review: Periodically review vendor reports to ensure alignment with client's policies and local regulations.
• Leave Payroll & Administration
  • Payroll Integration: Create and manage ongoing, complex leave payroll files.
  • Calculations: Coordinate closely with the Payroll team to ensure accurate wage replacement, state/provincial disability integrations, and benefit premium arrears.
  • Data Integrity: Maintain precise records in Workday and vendor portals, ensuring all data is updated in real-time.
• Employee & Leadership Support
  • Subject Matter Expert: Provide clear, compassionate guidance to employees regarding client's leave policies, eligibility, and application procedures.
  • Strategic Partnership: Partner with HR Business Partners (HRBPs) and People Leaders to navigate sensitive leave scenarios and complex accommodations (ADA/Provincial requirements).
  • Point of Contact: Act as the central hub for all North American leave inquiries, ensuring questions are answered promptly and accurately.
• Compliance & Documentation
  • Regulatory Compliance: Ensure all leaves are administered in accordance with federal and state entitlements and statutory provincial plans in Canada.
  • Return-to-Work (RTW): Manage the RTW process with our vendors, including tracking medical releases and coordinating workplace adjustments or phased-return plans.
  • Documentation: Maintain and update internal policies and resources for employees and managers.

Qualifications

• Experience: 3+ years of dedicated Leave of Absence administration experience covering both the US and Canada.
• Technical Skills: Strong proficiency in LOA payroll calculations and disability integration. Experience with Workday and vendor portals (Sparrow or Acclaim experience is a significant plus).
• Regulatory Knowledge: Deep understanding of FMLA, ADA, and Canadian provincial employment standards.
• Soft Skills: Empathy, discretion, and the ability to communicate complex policy information clearly to diverse audiences.
