Role Description
We are seeking a highly analytical, tech-savvy, and detail-oriented Bookkeeping Virtual Assistant to support our team in maintaining accurate financial records, managing day-to-day bookkeeping functions, and improving the overall efficiency of our internal financial processes. This role also includes optional responsibilities such as assisting with payroll, budgeting, and light administrative support.
You’ll play a key role in maintaining the integrity of our financial data and reporting, supporting leadership with timely insights, and helping streamline routine tasks. The ideal candidate is organized, proactive, and experienced in bookkeeping, with strong communication skills and a willingness to learn and adapt in a fast-paced environment.
Key Responsibilities

Record and Categorize Financial Transactions:

Accurately record all financial transactions via Dext, including income, expenses, reimbursements, and adjustments, into the appropriate general ledger accounts.

Ensure timely data entry and correct classification in accordance with company policies.

Assist with Payroll Processing:

Collaborate with the Bookkeeper to prepare, review, and process bi-weekly or monthly payroll through Bamboo HR.

Ensure accuracy of time entries, tax withholdings, and benefits deductions.

Maintain confidentiality and compliance with applicable labor and tax regulations.

Support Licensing and Compliance:

Help manage the renewal and documentation of business licenses through FDACS, permits, and insurance policies.

Track expiration dates and assist in filing necessary paperwork to maintain company compliance.

Maintain Financial Spreadsheets and Reports:

Create and update spreadsheets.

Ensure accuracy, version control, and clarity in financial documentation shared with leadership.

Provide Administrative Support:

Assist with light administrative duties, including organizing digital records, managing shared folders, and preparing supporting documents for audits or executive review.

Participate in Regular Meetings:

Join video calls for onboarding, training, project updates, performance reviews, share progress, and ask clarifying questions.
Qualifications

Experience with bookkeeping platforms (e.g., QuickBooks, Xero, Wave)

Proficiency with Google Sheets or Excel (formulas, pivot tables, etc.)

Strong attention to detail and analytical skills

Excellent written and spoken English communication

Comfortable working independently and in collaboration with leadership

Specifics

Full-time role (40 hours per week)

Schedule: Monday–Friday, 8:00 AM – 5:00 PM EDT/EST (GMT-5), including a 1-hour unpaid lunch break.

This role may require availability for a rotating half-day Saturday shift (8:30 AM–12:30 PM EST), approximately once monthly or more as needed.

Note: While three U.S. holidays are fully observed (Thanksgiving, Christmas, and New Year's), there may be a need for coverage on other U.S. holidays such as Memorial Day, Independence Day (July 4th), and Labor Day due to high lead volume. This is rotational.
