Role Description
Support the Manager or Founder by managing the day-to-day accounting for a portfolio of properties and related entities. This role includes both property (trust) accounting and corporate/entity accounting responsibilities.
This position requires strong attention to detail, a solid understanding of accounting principles, and the ability to communicate clearly with both internal teams and clients.
Your Main Responsibilities:

Property Accounting (Trust Accounting)

Work on accounting and AppFolio cleanup projects involving:
-
Catch-up bank reconciliations
-
Opening balance sheet entries
-
Comparing opening balances to last issued tax trial balance/audit trial balance
-
Clear diagnostics related to escrow mismatches
-
Work on Ongoing Trust Bookkeeping Engagements:
-
Enter bills and prepare payment batches
-
Review owner statements and prepare owner distributions
-
Enter tenant receipts and record deposits
-
Process move-out accounting, including security deposit reconciliations
-
Maintain clean and accurate tenant ledgers; identify and resolve discrepancies
-
Troubleshoot and resolve bookkeeping issues across properties
-
Perform triple bank reconciliations, identify issues (escrow mismatch, negative property cash, old outstanding payments or deposits)
-
Allocate mortgage payments between principal, interest, and escrow
-
Assist with month-end close and ensure accuracy of property-level reporting

Research on how to record transactions in accounting system, contact software support and find resolution.

Corporate / Entity Accounting

Perform bank and credit card reconciliations
-
Prepare and post accruals, recurring entries, and adjusting journal entries
-
Enter bills and prepare payment batches
-
Code transactions
-
Maintain prepaid schedules (insurance, taxes, escrow, etc.)
-
Reconcile balance sheet accounts and tie out to supporting schedules and subledgers
-
Assist with monthly financial statement preparation and review
-
Ensure transactions are recorded accurately and in the proper period
-
Review 12-month income statements and identify unusual or unexpected fluctuations
-
Assist with year-end accounting and preparing financial statements
-
Track vendor information for 1099 filings
-
Preparing 1099s using third-party platforms

Systems, Process & Communication
-
Follow firm standards for file management (SharePoint) and project management (Karbon HQ)
-
Communicate timely and proactively escalate issues to Manager
-
Work directly with clients on accounting-related questions and follow-ups
-
Assist with process improvements and additional projects as needed
-
Ability to meet deadlines (usually the first 2 weeks of the month is really busy)
Qualifications
-
Bachelor’s degree in accountancy
-
1–3 years of bookkeeping or accounting experience
-
Property management accounting experience preferred
-
AppFolio and QuickBooks Online experience required
-
Rent Manager experience is a plus
-
Experience with trust accounting and corporate/entity accounting
-
Strong understanding of financial statements and balance sheet reconciliations
-
Experience in outsourced property and real estate accounting environments or working with third-party accounting providers is a plus
Technical Skills

Proficient in AppFolio

Proficient in QuickBooks Online
-
Proficiency in Microsoft Excel, Outlook, and Word

Experience with Karbon HQ is a plus
-
Experience with SharePoint or similar file management systems preferred
