Role Description

The Rates Coordinator will work closely with the Senior Manager of Billing Compliance to administer the Firm’s rate implementation and maintenance.

  • Collaborate with the Pricing team to input new rate arrangements
  • Contribute to the annual rate increase process
  • Enter rates for new employee timekeepers and new client/matter rate arrangements
  • Identify and enter exception rates for new ebilling timekeepers

Job Responsibilities:

  • Manage the “Rates” inbox and address inquiries from the Billing and Pricing teams in a timely and accurate manner
  • Configure Rates for new employee timekeepers in the Firm’s financial management system
  • Assist the Billing team with non-routine/complex client billing arrangements and provide relevant training
  • Review OCGs for rate restrictions and effect changes in the financial management system
  • Communicate with internal and external stakeholders to respond to rate inquiries and resolve issues
  • Collaborate with the E-Billing team to proactively identify rates for new ebilling timekeepers
  • Own the rates reporting function including development and distribution of exception rate reporting
  • Ensure that client billing instructions/arrangement notes are regularly updated and maintained
  • Develop solutions to reduce internal work cycles and eliminate process inefficiencies

Qualifications

  • Experience with legal rate maintenance including yearly rate increase, managing rates in multiple currencies and several rate tiers
  • Experience with setting and addressing client/matter exception rates, cost constraints, and fee arrangements
  • Demonstrated ability to communicate clearly and effectively, both orally and in writing
  • Demonstrated ability to provide quality client service to both internal and external contacts
  • Demonstrated ability to organize and prioritize work in a dynamic and complex environment
  • Demonstrated knowledge of basic accounting concepts and internal controls
  • Demonstrated ability to analyze and effectively communicate complex issues
  • Advanced proficiency in Microsoft Excel and other Microsoft suite applications
  • Demonstrated advanced knowledge of 3E or other similar account system
  • Understanding of client service standards and expectations within a law firm and/or professional services environment
  • Must be detail-oriented and demonstrate a commitment to accuracy and thoroughness

Requirements

  • Bachelor’s Degree in Accounting or related field (Equivalent training and experience may substitute for education)
  • Minimum of five (5) years of experience in a professional services organization
  • Experience with timekeeper rates maintenance and oversight is preferred
