Description

The Accounts Payables Specialist is responsible for the financial processing of transactions primarily through invoicing and billing. The position ensures all payment requests are properly approved and documented, vendors are paid according to payment term/plans to avoid any service interruptions and maximizes cash management opportunities. Duties include daily bookkeeping and record keeping, financial reporting and assistance in completing audit requests. Position ensures all financial records are in order by following generally accepted accounting principles (GAAP). The position will report to the Senior Accountant.


Responsibilities:

  • Retrieves vendor invoices, credit memos and/or statements from various portals. Receives invoices directly from practice leaders and executive managers, reviews all payment requests for appropriate documentation and requisite approval authority. Enters properly approved invoices and other contractual obligations into accounts payable system for payment.
  • Gathers all required new vendor information. Ensures signed copies of IRS Form W-9 Request for Taxpayer Identification and Certification, vendor service agreements, and any other contracts are on file. Provides supporting documentation for audits.
  • Corresponds with vendors and responds to payment status inquiries. Research aged invoice inquiries received from vendor and reviews vendor history in accounts payable system to see if previously paid and if not paid, then forwards those invoices to appropriate approval manager for review and approval.
  • Reconciles vendor statements to vendor history in accounts payable system and contact vendor for any invoices listed on the vendor statement not paid or sent for review and approval.
  • Adheres to company policies in the performance of all assigned accounting duties and communicates any compliance deviations and internal control weaknesses to management timely.

  • Understanding of company processes, accounting system functionality, and ability to apply business knowledge, and reasoning ability in resolution of accounting tasks and issues. 
  • Demonstrate a mix of organizational, critical thinking and analytical skills. Ability to work out numbers, generate reports and find discrepancies as well as cost-saving opportunities. 
  • Must be detail-oriented, able to work independently and as part of a team, and able to multitask. 
  • Must be flexible and demonstrate ability to research issues and cope with ambiguity to offer insight and assist with development of process improvements.
  • Approachable and available to hospital leadership teams and functional support teams.
  • Well-developed interpersonal skills, written and verbal, skilled and open communicator.
  • Ability to prioritize tasks, receive guidance and work independently, be action-oriented, understand key objectives, meet accounting timelines, and display ethics and values in all actions.
  • Passion for pets and their health and well-being.

Requirements
  • High School Degree or GED required. Associate or Bachelor's degree in Accounting, Finance or Business Management (or equivalent experience) preferred.
  • 3 - 7+ years of accounting related experience (veterinary or similar field). Public company experience a plus
  • Proficiency in financial and bookkeeping software is required. Knowledge of Accounting/Finance Management System such as Sage Intacct Accounting a plus. 
  • Understanding of current accounting trends is a plus.
  • Experience with Bill.com and HubDoc preferred.
  • Proficiency in Microsoft Office (including Outlook, Word) and Teams. Demonstrated advanced proficiency in Excel.
