Role Description
The Attendance Specialist is responsible for tracking, verifying, and maintaining accurate student attendance records in a virtual learning environment. This role supports compliance with state attendance requirements and school policies while working closely with teachers, families, and administrative staff to ensure student engagement and accountability. The ideal candidate is detail-oriented, responsive, and comfortable working with digital systems.
Essential Position Responsibilities

Attendance Monitoring & Recordkeeping

Monitor and record daily student attendance using the schoolβs Student Information System (SIS).

Verify attendance through virtual engagement indicators (logins, participation, assignment submission, instructional engagement, etc.).

Monitor instructional engagement in accordance with virtual attendance requirements.

Maintain accurate, complete, and up-to-date attendance records in compliance with school, state, and federal guidelines.

Ensure compliance with compulsory attendance laws and state reporting requirements.

Review and reconcile attendance discrepancies in collaboration with teachers and school staff.

Generate attendance reports for administrators, support staff, and compliance purposes.

Identify attendance trends, chronic absenteeism concerns, and at-risk students for escalation and intervention.

Family Communication & Student Support

Follow up with students and families regarding absences, tardiness, truancy concerns, and required documentation.

Respond to attendance-related inquiries from staff and families in a timely and professional manner.

Communicate attendance expectations, policies, and intervention plans clearly with families.

Support student re-engagement efforts aimed at improving attendance and reducing withdrawal risk.

Attendance Review Committee (ARC) & Truancy Processes

Serve as the primary campus point of contact for attendance compliance and truancy processes.

Coordinate, schedule, and document Attendance Review Committee (ARC) meetings and truancy intervention meetings.

Maintain accurate documentation of attendance interventions, parent communication attempts, meeting outcomes, and required compliance records.

Prepare attendance documentation and supporting records for administrative review and compliance audits.

Support truancy prevention processes and ensure required timelines and documentation are completed in accordance with school and state requirements.

Track intervention plans and follow-up actions resulting from attendance meetings.

Collaboration

Collaborate with teachers to confirm student participation and resolve attendance discrepancies.

Partner with administrators, counselors, educational concierges, and support teams to improve student attendance outcomes.

Work collaboratively with campus and district staff to ensure consistent implementation of attendance procedures and compliance expectations.
Qualifications

Strong attention to detail and organizational skills.

Comfortable working with Student Information Systems (e.g., Ascender or similar).

Strong written and verbal communication skills.

Ability to manage multiple tasks and meet deadlines in a remote or fast-paced environment.

Demonstrated ability to communicate clearly, professionally, and empathetically with parents/guardians regarding student attendance concerns and interventions.
Requirements

High school diploma or equivalent required.

Bachelors preferred.
-
5 years experience working in a school setting, student records, experience in student records management or administrative support preferred.
