[Hiring] Senior Systems Administrator @Covenant House International

3d ago - Covenant House International is hiring a remote Senior Systems Administrator. 💸 Salary: unspecified 📍Location: USA

Role Description

The Senior Systems Administrator plays a critical role in ensuring the reliability, integrity, and strategic evolution of the organization’s finance technology infrastructure. This position serves as the primary subject matter expert for NetSuite ERP. We are starting the implementation process across our Federation, and you will lead strategy building and execution to maximize the full function and potential of NetSuite. This new role bridges Finance, Operations, Development, and Information Technology to support a diverse, geographically distributed workforce.

Essential Duties and Responsibilities

  • NetSuite ERP Administration
    • Serve as the primary NetSuite administrator, managing configuration, customization, user access, roles, permissions, workflows, and saved searches.
    • Maintain and optimize NetSuite modules including General Ledger, Accounts Payable (Zone OCR), Accounts Receivable, Grant Management (Pyango), Fixed Assets, Planning and Budgeting (NSPB), Analytics Warehouse (NSAW), and multi-subsidiary/multi-location structures.
    • Design and implement custom records, fields, scripts (SuiteScript), and SuiteFlow automations in response to evolving business requirements.
    • Manage the NetSuite integration ecosystem, including connections to donor management, payroll, HRIS, banking platforms and other third-party platforms as needed.
    • Conduct regular system audits to ensure data integrity, tax compliance, and audit readiness.
    • Monitor system performance, troubleshoot incidents, and coordinate with NetSuite support and third-party vendors.
    • Support the use of AI‑assisted analytics, automation, and document processing (e.g., OCR, classification, and predictive insights) within NetSuite and connected platforms.
  • Finance & Accounting Systems Support
    • Partner closely with the Finance and Accounting team to support month-end and year-end close processes, reconciliations, and financial reporting.
    • Build and maintain NetSuite financial reports, dashboards, and KPIs for leadership, program managers, and other departments as needed.
    • Support budgeting, forecasting, and grant tracking workflows within NetSuite and related tools.
    • Assist with audits by preparing system-generated documentation, audit trails, and financial data exports.
    • Ensure compliance with GAAP, nonprofit accounting standards (ASC 958), and funder reporting requirements.
  • Project Management & Systems Implementation
    • Partnering with the Information Technology team, lead end-to-end technology projects including new module rollouts, system migrations, integrations, financial data warehouse and reporting solutions, and process re-engineering initiatives.
    • Develop project charters, timelines, resource plans, risk registers, and stakeholder communication strategies.
    • Facilitate cross-functional working groups and steering committees to align technology decisions with organizational priorities.
    • Manage vendor relationships, contracts, and SLA performance for all enterprise systems.
    • Apply formal project management methodologies (PMP, Agile, or equivalent) to deliver projects on scope, schedule, and budget.
  • Cross-Departmental & Multi-Site Collaboration
    • Serve as a trusted finance systems partner to department heads across CHI departments (Finance, People & Culture, Programs, Development, and Operations) and Site offices across the Federation, ensuring consistent, reliable, and equitable systems support across regions.
    • Partner with Site leadership to understand local operational, regulatory, and reporting needs, adapting system configurations and workflows accordingly.
    • Support multi‑currency, multi‑language, and country‑specific finance processes within NetSuite and integrated systems.
    • Coordinate systems support and training initiatives across all Federation offices, including occasional site visits.
    • Translate complex technical concepts into accessible language for non-technical staff and leadership.
    • Facilitate needs assessments, gather business requirements, and design technology solutions that serve diverse user communities.
    • Coordinate training, change management, and post‑go‑live support for Site‑based users across time zones and geographies.
    • Champion a culture of early-adoption and data-driven decision making throughout the organization.
  • Systems Administration & Infrastructure
    • Maintain documentation for system configurations, integrations, SOPs, and disaster recovery procedures.
    • Working with the Information Technology team, develop and deliver end-user training programs, help documentation, and onboarding materials.
    • Evaluate and recommend emerging technologies that advance the organization’s mission and operational efficiency.
    • Evaluate, pilot, and implement AI‑enabled tools and features to enhance finance operations, including transaction processing, reconciliations, anomaly detection, forecasting, and reporting.
    • Partner with Finance, IT, and Operations to integrate responsible AI solutions into core systems workflows, improving efficiency, accuracy, and decision‑making.
  • Leadership & Team Development
    • Partner cross-functionally with all departments at CHI and sites across the Federation to ensure finance technology and systems are integrated where appropriate and well-supported.
    • Champion adoption of scalable, future‑ready technologies—including AI‑driven solutions—to better support the Federation and growing organizational complexity.
    • Model and promote a value-driven, mission-centered approach to systems management—one that sees technology not as a back-office function but as a strategic enabler of impact across the Federation.
    • Perform other responsibilities and special projects as requested by the Chief Financial Officer or Chief Operations Officer and Chief Legal Officer in support of organizational priorities and financial stewardship.

Qualifications

  • Proven ability to collaborate effectively across departments and with stakeholders at all organizational levels.
  • Experience supporting multi-site or multi-location organizations.
  • Strong analytical, problem-solving, and data management skills.
  • Excellent written and verbal communication skills, including the ability to present complex concepts to non-technical audiences.

Requirements

  • Bachelor’s degree in Information Systems, Accounting, Business Administration, or a closely related field (or equivalent professional experience).
  • Total of 8-12+ years relevant experience within the financial systems administration space, including experience interfacing with or as part of a leadership team.
  • 5+ years minimum of hands-on NetSuite administration experience, including configuration, scripting, and workflow design.
  • 3+ years of formal project management experience, including leading cross-functional technology projects.
  • Demonstrated experience working within or directly supporting a finance or accounting function.

Preferred Knowledge, Skills, Abilities and Qualifications

  • NetSuite Administrator or SuiteFoundation Certification.
  • PMP, CAPM, or Agile/Scrum certification.
  • Prior experience in a nonprofit, government, or mission-driven organization.
  • Familiarity with nonprofit accounting standards (ASC 958) and grant management workflows.
  • Experience with SuiteScript (JavaScript), SuiteAnalytics, SQL Reporting, or NetSuite integration tools (Celigo, Boomi, or similar).
  • Knowledge of Microsoft 365 administration, Azure AD / Entra ID, or Intune.
  • Experience with HRIS, payroll, or donor management system integrations.
  • Experience with NetSuite modules including General Ledger, Accounts Payable (Zone OCR), Accounts Receivable, Grant Management (Pyango), Fixed Assets, Planning and Budgeting (NSPB), Analytics Warehouse (NSAW), and multi-subsidiary/multi-location structures.

Travel Requirements

  • Ability to travel once per year to New York City in October for our annual in-person traditions.
  • Ability to travel to various site locations up to 20-25% of the time.
