Role Description

Our client in the L&D and Corporate Training industry is currently looking for a Microsoft 365 Survey & Data Specialist for a 5-month Fixed Contract, in Bryanston, Johannesburg (Remote).

Duties & Responsibilities

• Survey Build in Microsoft Forms:
  • Build two linked survey types per competency:
  • Participant self-assessment surveys using a 5-point scale with capability anchors and visible definitions.
  • Observer surveys using frequency-based response anchors.
  • Configure long-form surveys with mixed and randomized order items for participants' surveys.
  • Configure competency-grouped sections for observer surveys.
  • Ensure a professional, client-branded presentation within Microsoft Forms customization limits.
• Question-Mapping Engine:
  • Build and maintain a question-order matrix that automatically maps participants' responses back to their competencies and focus areas at collation.
  • Use Excel lookups, formulas and/or Power Automate where appropriate.
  • Ensure all re-mapping of question responses is automatic and auditable.
• Distribution and Completion Management:
  • Manage rater relationships.
  • Manage survey send-outs.
  • Manage completion reminders.
  • Manage completion tracking.
  • Support survey cycles delivered against fixed project deadlines.
• Collation and Scoring Pipeline:
  • Create an automated flow from Microsoft Forms through Excel into structured scoring sheets.
  • Apply agreed scoring and weighting rules with aggregation and anonymity controls.
  • Deliver clean, documented datasets suitable for statistical analysis and Power BI reporting.
• Handover Documentation:
  • Document all processes, workflows, and tools developed.
  • Create handover-ready documentation enabling future survey cycles to run without dependency on the role holder.

Qualifications

• Advanced Microsoft Forms, including branching and its practical limitations.
• Must have stable Wi-Fi, Access to Microsoft suite and own laptop as well as a work from home set up.
• Advanced Excel including structured references, look-up architecture, data validation and error-proofing.
• Power Automate experience for survey distribution and collection workflows.
• Working Power BI knowledge including data shaping and modelling.
• Rigorous data hygiene with confidential people data.
• Experience with survey or assessment data specifically 360s and engagement surveys.
• SharePoint list and/or library automation.
• Exposure to POPIA-compliant data handling in corporate environments.

Package & Remuneration

Depending on Qualifications and Experience.
