Role Description

We are seeking a highly organised and detail-oriented Virtual Assistant to provide end-to-end operational support across various functions.

• Customer communication
  • Respond to customer enquiries via email
  • Triage and escalate complex queries
  • Schedule client calls
  • Follow up on quotes and enquiries
  • Process new trade account requests
  • Gather client testimonials and imagery
• Quoting support
  • Review client plans and extract panel sizes
  • Prepare draft quotes
  • Cross-check measurements and finishes
• Order processing
  • Convert invoices into production orders, ensuring all details are accurate
  • Maintain tracking systems
• Supplier coordination, shipping and logistics
  • Liaise with manufacturers
  • Track production and follow up delays
  • Book freight and prepare documentation
  • Send dispatch notifications
  • Monitor deliveries
• Work Management (Monday.com)
  • Manage boards and workflows
  • Ensure accurate tracking
• Social media management
  • Manage Facebook, Instagram, TikTok, Pinterest accounts
  • Create, schedule and publish approved content
  • Repurpose content across platforms
  • Respond to comments/messages
  • Maintain posting consistency and monitor social trends
  • Identify social opportunities
• Process documentation and optimisation
  • Create and maintain SOPs and organise SOP library
  • Identify process gaps and improve workflows
  • Build FAQ database
  • Create templated responses
  • Maintain knowledge resources

Qualifications

• Excellent written English
• Strong attention to detail
• Experience managing social media platforms
• Organised and process-driven

Requirements

• Interior design or cabinetry exposure (desirable)
• eCommerce or customer service experience (desirable)
• Experience with Monday.com or similar (desirable)
• Experience with Xero or similar (desirable)
• Experience with Canva / content tools (desirable)

Benefits

• Compensation range: $1,500 AUD - $1,800 AUD / Monthly

• This is a remote role set up as an independent contractor engagement.
