Role Description

The Service Cancellation Intake Assistant is responsible for ensuring that customer requests to end services are accurately routed to the correct team with relevant details and status updates. This role involves:

• Acknowledging customer cancellation requests.
• Checking existing online account records under employer's instructions.
• Routing decisions about terms, dates, or charges to authorized specialists.
• Understanding that a cancellation request is not proof that the service has ended.
• Recording preferred end dates without promising acceptance.
• Using approved questions to obtain missing information.
• Reading customer messages fully and acknowledging requests without requiring repetition.
• Making visible any separate complaints or refund questions for the responsible team.
• Avoiding persuasion to stay unless authorized to do so.

Qualifications

• Experience answering customers or maintaining office records is beneficial.
• Newcomers can learn this role with close reading and respectful communication.
• Comfort with email and online records, including careful use of dates.

Requirements

• Daily checks of outstanding cases.
• Noting replies from customers when specialists request information.
• Recording withdrawal of cancellation requests with original cases.
• Maintaining explicit scope for service cancellations.
• Ensuring accurate status updates, especially near billing cycles or appointment dates.
