Role Description

We’re looking for an organized, reliable, and customer-focused Residential Cleaning Virtual Assistant to support the daily operations of a residential cleaning business. You’ll manage cleaning schedules, coordinate bookings, communicate with homeowners, and maintain accurate client records to ensure appointments run smoothly.

This role is ideal for someone who enjoys helping customers, managing multiple priorities, and keeping daily operations organized in a remote environment. Strong communication, attention to detail, and proactive follow-through are essential.

What You’ll Own

• Scheduling & Calendar Management
  • Manage the daily cleaning schedule and coordinate appointments for residential clients.
  • Book new appointments, update existing bookings, and resolve scheduling conflicts.
  • Confirm appointments and communicate schedule changes to clients.
  • Keep the calendar organized and ensure important booking details are accurate.
• Client Communication & Customer Service
  • Serve as the first point of contact for homeowners through phone, email, and messaging platforms.
  • Respond to client inquiries professionally and in a friendly manner.
  • Send booking confirmations, reminders, and follow-up messages.
  • Ensure clients receive timely updates and a positive service experience.
• Booking & Client Intake
  • Process new service requests from initial inquiry through confirmed appointment.
  • Collect important details about the home, access instructions, and service preferences.
  • Enter booking information accurately into the relevant systems.
  • Ensure all necessary details are available before each scheduled cleaning.
• Issue Resolution & Follow-Up
  • Address client concerns and coordinate rescheduling for cancelled or missed appointments.
  • Identify scheduling or service-related issues and escalate them promptly when needed.
  • Follow up on unresolved requests to ensure they reach the appropriate outcome.
  • Keep clients informed throughout the resolution process.
• Administrative Support & Recordkeeping
  • Maintain accurate client profiles, booking records, and internal documentation.
  • Perform data entry and update customer information as needed.
  • Prepare simple reports and assist with routine administrative tasks.
  • Keep records organized and current so the team can access information easily.
• Reviews & Customer Feedback
  • Follow up with clients after completed cleanings to gather feedback.
  • Document concerns and communicate relevant feedback to the team.
  • Help identify recurring issues that may affect customer satisfaction.
  • Support consistent service quality through timely communication and follow-through.

Qualifications

• Previous experience in a virtual assistant, administrative, customer service, or similar role.
• Fluent written and spoken English, with the ability to communicate clearly and professionally with U.S.-based homeowners.
• Experience managing calendars, appointments, and scheduling changes.
• Familiarity with Google Workspace, CRM platforms, or scheduling software.
• Strong data entry skills and attention to detail when handling client and booking information.
• Excellent organizational skills and the ability to manage multiple requests simultaneously.
• Strong problem-solving skills and the ability to handle customer concerns professionally.
• Ability to work independently and manage responsibilities in a remote environment.

Typical Day

You’ll start by reviewing the day’s cleaning appointments, confirming outstanding bookings, and responding to client messages. Throughout the day, you’ll process new inquiries, update client profiles, coordinate rescheduling requests, and communicate appointment changes to homeowners.

You’ll also maintain accurate records, assist the administrative team with routine tasks, and follow up with clients after completed cleanings to gather feedback. By the end of the day, you’ll ensure outstanding requests are addressed and upcoming appointments are organized.
