Role Description

This is a remote position. A rapidly expanding property investment and management group is looking for a vibrant, fully remote Customer Success Coordinator to serve as their central operational engine. Working Monday to Friday (08:00–16:00 or 09:00–17:00 UK time, with a 1-hour lunch break), you will join an authentic, high-energy, and collaborative remote team that values mutual support and straightforward communication.

Reporting directly to senior operational management and working alongside team leaders, you will take single-point ownership of case progression across active property transactions—driving deals from initial instruction right through to legal completion, administrative setup, and project handovers.

No prior UK property law knowledge is required—full training is provided, as we prioritise personality, drive, organisational stamina, and process discipline.

Responsibilities

• Transaction & Case Progression:
  • Own active case management across property transactions, refinances, and portfolio administrative updates.
  • Relentlessly chase conveyancers, solicitors, lenders, and brokers to ensure deals move between milestones without sitting untouched.
  • Identify stalling cases early—flagging delays to internal leadership the week they start, not the week they become urgent.
• Stakeholder & Documentation Coordination:
  • Liaise directly with UK solicitors, brokers, and external partners to request, verify, and gather required documentation.
  • Maintain strict document hygiene: ensure 100% of property documentation and photos are saved with correct naming conventions.
  • Track upcoming key financial milestones on existing portfolio properties for internal review.
• Property Onboarding & Setup:
  • Own post-completion onboarding: set up utility accounts, local authority council tax, and building insurance.
  • Coordinate active communication channels for properties under management.
  • Track active property development projects and translate operational progress into clear, proactive updates for company directors.
• Flawless System Administration:
  • Maintain 100% current, real-time records across core systems (CRM, shared drives, and project trackers).
  • Deliver weekly case update reports to company leadership on schedule.

Qualifications

• Proven Experience: 5+ years of experience in a high-volume administration, case management, project coordination, or senior operations role. Experience supporting UK or international clients remotely is highly advantageous.
• System & Tracker Proficiency: Comfortable managing high-volume data in CRM platforms, project management systems, Google Workspace, and live tracking sheets. Must be tech-agile.
• Communication Skills: Flawless written and spoken English. You write updates that are clear, professional, and proactive enough that directors rarely need to ask follow-up questions.
• Dedicated Remote Setup:
  • A quiet, professional home office environment free from background noise.
  • Meticulously reliable high-speed fibre internet.
  • Robust backup power (Inverter/UPS) and secondary connectivity to combat load-shedding.
  • Modern laptop/PC, high-quality headset, and clear webcam.

Requirements

• This role requires a very specific balance: someone decisive enough to drive every case forward, yet disciplined enough to respect client boundaries.
• Relentless Case Progression: You treat a case going quiet for more than a few days as a signal to act, not a signal to wait. You chase outstanding documentation without needing to be reminded.
• Process & Tracker Discipline: You are structured, rigorous, and detail-focused. You rely on CRMs, task management platforms, and live trackers as your primary working tools, never relying on memory.
• Channel Confidence: You pick up the phone or jump on a call when that is the fastest way to unblock a case, following up every conversation in writing so there is always a clear record.
• Decisive, but Clear on Boundaries: You drive everything within your remit relentlessly. However, you recognise decisions that belong strictly to senior leadership (financial terms, commitments, contract signatures) and escalate them promptly.
