Role Description

This position is devoted to checking authorised contact changes and making careful updates to an online record.

• Keeping contact instructions current.
• Establishing what the person actually asked to change and which existing record it concerns.
• Noting issues and asking for guidance rather than merging records or changing communication permissions on your own.
• Faithfully recording preferences the organisation is permitted to keep.
• Ensuring the correct authorised field has been changed, with a short note explaining the source where required.
• Making the status of outstanding questions visible if an update cannot be completed.

Checks commonly involved:

• Finding the right customer record using the supplied reference and identifying details.
• Comparing the requested change with the existing contact information.
• Entering an authorised correction without altering unrelated fields.
• Checking whether a communication preference is clearly stated before recording it.
• Flagging a possible duplicate or contradictory request to the appropriate colleague.
• Recording when an update is pending additional information.
• Reviewing the saved entry for a typing error or an unintended change.

The work is fairly quiet and methodical, with some days consisting largely of straightforward updates and others including several records that need clarification.

Qualifications

• Office administration experience is an advantage.
• Comfortable reading a short written request and comparing two sets of details.
• Good spelling is important as a single wrong character can make a contact method unusable.
• No need for experience with a particular customer database.

Requirements

• Ability to organise a small set of assigned changes and communicate when one is blocked.
• A suitable home office space to maintain attention on personal information.
• Factual and brief note-taking to help the next person understand the status without unnecessary personal details.
