Role Description

We are seeking an experienced Workforce Management Analyst (Operations) to play a critical role in ensuring the effective staffing and operational performance of our clinical and helpline services. This role is responsible for the day-to-day delivery of workforce management activities, including:

• Scheduling
• Forecasting
• Reporting
• Workforce administration

Working closely with Service Delivery, HR, Finance and Payroll, you will ensure staffing levels align with call demand, funding requirements and operational targets. You will also contribute to continuous improvement initiatives, workforce planning and the development of data insights that support decision-making across the organisation.

Qualifications

• Demonstrated experience in workforce scheduling, forecasting or rostering
• Experience using workforce management or scheduling systems
• Strong Excel and reporting capability
• High attention to detail and strong analytical thinking
• Excellent stakeholder engagement and communication skills
• Ability to balance service demand, operational constraints and staff wellbeing

Requirements

• Develop and maintain short and long-term rosters across multiple service lines
• Manage real-time roster adjustments for leave, cancellations and coverage risks
• Schedule training, supervision, meetings and workforce activities
• Escalate operational workforce risks where required
• Conduct demand and capacity analysis to support staffing decisions
• Identify workforce gaps or overcapacity and recommend improvements
• Support workforce planning for new or expanding services
• Produce weekly, monthly and ad hoc workforce reports
• Track utilisation, overtime, multi-skilling and staffing efficiency
• Contribute to dashboards that support operational decision-making
• Manage rostering queries and workforce documentation
• Maintain workforce records for compliance and audit readiness
• Support improvements to workforce systems, processes and reporting
