The UK Mortgage Case Administrator manages end-to-end mortgage case workflows, coordinating stakeholders and maintaining accuracy across regulated financial processes. Qualifications

• Minimum 5 years UK mortgage administration experience (10 years strongly preferred)
• Hands-on experience with UK lender portals (Halifax, Santander, NatWest, Nationwide, HSBC)
• Proven comfort operating in an FCA-regulated, compliance-driven environment
• Experience drafting suitability letters and completing fact finds to a high standard
• Strong written and spoken English for direct client and third-party communication
• Advanced CRM proficiency
• Demonstrated use of AI tools (Claude, ChatGPT, or equivalent) for document preparation and workflow automation - this is a firm requirement, not a preference
• Protection and insurance admin background (desirable)
• GoHighLevel CRM experience (desirable)
• Familiarity with PRIMIS or equivalent UK mortgage network processes (desirable)
• Experience supporting a small brokerage or directly assisting an appointed adviser (desirable)

Requirements

• Draft suitability letters for adviser review and sign-off
• Complete client fact finds and record data accurately in CRM
• Submit Decisions in Principle across major UK lenders via portals
• Complete and submit full mortgage applications
• Manage case progression including lender, solicitor, estate agent, and bank follow-ups
• Handle client communication, progress updates, document requests, and support calls
• Support protection and insurance administration
• Maintain advanced CRM workflows using GoHighLevel
• Use AI-assisted tools (Claude and similar platforms) for drafting and workflow support
