Role Description

The Sr. PiMS Analyst serves as ACT Data’s primary subject-matter expert for veterinary Practice Information Management Systems (PiMS). This role bridges veterinary clinics, PiMS vendors, and internal product, development, QA, technical support, and training teams. The position requires deep hands-on knowledge of PiMS workflows, clinic operations, and real-world system usage.

• Translate clinic workflows, analyze PiMS UI/UX, support integrations, and provide training and knowledge transfer across technical and non-technical audiences.

Qualifications

• Bachelor’s degree or equivalent combination of education and relevant work experience.
• Minimum of 5 years of experience working in a veterinary clinic environment.
• Minimum of 5 years direct experience acting as the clinic’s primary PiMS contact, including communication with PiMS technical support.
• Experience working cross-functionally with product, engineering, QA, or technical teams.
• Familiarity with PiMS integrations, third-party applications, or payment processing workflows.
• Prior experience supporting or training users on PiMS systems.
• Fluency in at least one veterinary PiMS, with demonstrated ability to learn additional systems.
• Strong understanding of veterinary clinic workflows and PiMS feature sets.
• Excellent verbal and written communication skills, both phone and in-person.
• Fast thinker with strong analytical and problem-solving abilities.
• Ability to thrive in a fast-paced environment.
• Proficiency with MS Office (Word, Excel, PowerPoint, Outlook).
• Ability to work independently in a remote environment.

Requirements

• Serve as SME for at least one major veterinary PiMS (non-Patterson PiMS) and rapidly learn additional platforms.
• Maintain detailed knowledge of PiMS features including but not limited to transactions, invoicing, payment processing, inventory, scheduling, permissions, backups, connectivity, vaccine records, medical histories, reminders, lab workflows, and related processes.
• Act as liaison between ACT Data, veterinary clinics, PiMS vendors, and industry partners.
• Confidently discuss PiMS functionality from both user and technical perspectives.
• Leverage clinic-side experience to anticipate challenges and guide solutions.
• Work closely with internal teams including Development, QA, Technical Support, and Project Management to analyze PiMS UI/UX workflows, identify gaps, friction points, and integration challenges.
• Support design and implementation of PiMS-to-application integrations.
• Provide fast, practical problem-solving in a dynamic environment where priorities and direction may change quickly.
• Track and maintain awareness of supported PiMS software versions.
• Monitor PiMS release updates and document significant version changes, enhancements, and breaking changes.
• Communicate PiMS version impacts clearly to internal stakeholders and project teams.
• Develop PiMS demonstrations, walkthroughs, and instructional materials using screen capture tools.
• Support internal education and enablement efforts related to PiMS workflows and integrations.
