This Senior Administrative Business Partner role provides essential administrative and operational support to senior leadership, with a focus on communications, workflow coordination, and project support. This role involves preparing correspondence, reports, presentations, and meeting materials, as well as helping to maintain clear communication and followup across teams. The individual will manage sensitive information with discretion, support a variety of operational and crossfunctional initiatives, and contribute to organizing meetings and events. While some scheduling and logistics support may be required, the position is primarily centered on broader operational responsibilities. Success in this role requires strong attention to detail, sound judgment, and the ability to manage multiple priorities in a fastpaced environment. Supervision of other support staff may be required.


Primary Duties and Responsibilities:

  • Core Operational Workflow Management (30%) Manage daily consultation intake, triage, and routing based on subject matter expertise, timelines, PTO, and continuity. Oversee shared operational mailboxes to ensure timely routing, escalation, and follow-up. Serve as the central coordination point for operational workflow items by prioritizing, tracking, and advancing requests across the practice, and providing general operational support across the practice.
  • Communications, SharePoint & Information Management (20–25%) Develop, format, and distribute recurring practice updates, alerts, independence communications, and other operational messages. Maintain organized, communication archives for accuracy and searchability. Manage SharePoint content, including site structure, permissions, documentation libraries, and version control to ensure information is accurate, accessible, and consistently maintained.
  • Systems, Tools & Compliance Administration (20%) Support administration of key operational tools such as DataSnipper, including reviewing incoming tickets, confirming required training, and escalating items as needed. Maintain and update Smartsheet trackers, dashboards, and workflow or reporting tools. Track open item progress, monitor overdue items, issue reminders, and maintain logs and status reports to ensure visibility of open compliance items across teams.
  • Onboarding, Event & Program Coordination (20%) Facilitate onboarding operations including access provisioning, application setup, and completion of onboarding checklists and trackers. Coordinate firm-based events and programs by managing logistics, scheduling, materials, and vendor/administrative needs. Support planning cycles by gathering requirements, confirming participation, and preparing event related documentation.
  • Administrative Support for Senior Leadership (20–30%) Provide calendar management, expense processing, and logistical coordination for senior leadership. Prepare correspondence, presentations, reports, and meeting materials with minimal direction. Support meeting preparation and follow-up, including action item tracking and communication of key topics. Handle sensitive information with discretion and assist with special projects and operational initiatives as assigned.


Qualifications:

  • Bachelor's degree perferred
  • 8–10 years of senior-level administrative support experience
  • Prior experience as an Executive Assistant reporting directly to senior management
  • Proficiency in Microsoft Office suite
  • Ability to uphold a strict level of confidentiality, high level of integrity and ability to demonstrate positive attitude
  • Position continually requires demonstrated poise, tact and diplomacy, must be able to interact and communicate with individuals at all levels of the organization
  • Excellent customer service and client focused skills
  • Excellent organizational skills and ability to manage through competing priorities
  • Excellent proofreading skills, detail orientated
  • Ability to work independently to follow directions and procedures

The compensation range for this role is $26.00 to $49.10. Actual compensation is influenced by a variety of factors including but not limited to skills, experience, qualifications, and geographic location.
