[Hiring] Procurement Portal & RFP Specialist @OurTeam

Role Description

We are seeking a detail-oriented, highly organized Procurement Portal & RFP Specialist to own our inbound and outbound procurement operations. In this role, you will lead our presence across public and private procurement portals, maintain active vendor registrations, monitor high-intent procurement channels, and drive the end-to-end response process for Requests for Proposals (RFPs), Tenders, and Expressions of Interest (EOIs).

You will work closely with leadership to position OurTeam’s core offerings—Work Redesign, Skills Architecture, HR Tech Advisory, and Managed Global Capacity—to win enterprise, government, and mid-market contracts.

Key Responsibilities

• Procurement Portal Management & Vendor Registration:
  • Register, manage, and maintain OurTeam’s profiles on key public and private procurement portals, vendor databases, and tender platforms.
  • Ensure all compliance documentation, capability statements, certifications, tax/financial info, and insurance details are updated and ready for rapid submission.
  • Proactively search and track active opportunities matching keywords such as Workforce Transformation, Work Redesign, RPO Services, Skills Architecture, Managed Staffing, and HR Technology Change Management.
• End-to-End RFP & Proposal Operations:
  • Lead the end-to-end bid management lifecycle for incoming RFPs, RFIs, RFQs, and EOIs.
  • Parse RFP requirements and create detailed response checklists, compliance matrices, and delivery schedules.
  • Draft, edit, and assemble high-quality, customized proposal responses using established master content, case studies, and tailored technical value propositions.
  • Coordinate across internal stakeholders (Solutions Architects, Operations, Leadership) to gather delivery models, pricing inputs, and technical specifications.
  • Review final submission packages for strict adherence to formatting, eligibility, legal, and submission deadline rules.
• Lead Tracking & CRM Pipeline Operations:
  • Log, track, and monitor the status of all active bids, vendor applications, and procurement leads directly in Zoho CRM.
  • Manage follow-ups post-submission and capture evaluator feedback to continuously refine OurTeam’s proposal repository and win rate.
  • Collaborate with the outbound team running automated lead generation sequences via Explee to cross-reference target accounts issuing active procurement signals.

Qualifications

• 2–4+ years of proven experience in bid writing, RFP management, vendor portal registration, or procurement coordination within B2B professional services, consulting, IT, or workforce/staffing industries.
• Hands-on experience navigating enterprise vendor portals, municipal/government tender boards, and RFP aggregator platforms.
• Exceptional written communication skills in English, with the ability to articulate complex services (Workplace Transformation, Managed Capacity, Skills Frameworks) into clear, compelling proposal copy.
• Hands-on experience using CRMs (experience with Zoho CRM and Zoho ATS is a strong advantage) to manage deal stages and contact records.
• Obsessive attention to detail with a track record of managing multiple tight bid deadlines simultaneously without sacrificing quality.
