Role Description

This position conducts advanced office and administrative work providing support to the coordination, implementation, and oversight at the Bureau of Sea-Run Fisheries and Habitat. Responsibilities require using independent judgment, initiative, and decision-making on complex administrative matters. This position is expected to work across the agency with other state agencies to conduct administrative and financial tasks in support of the Bureau's mission including monitoring grant funding and compliance. Assisting the Bureau in outdoor field work is offered but not required.

  • Performing administrative tasks (i.e., correspondence, developing protocols, meeting agendas/minutes/staff meeting presentations, reports, processes requests for information, responding to inquiries of a time-sensitive nature, scheduling meetings, overseeing and managing office practices).
  • Making and tracking purchases for the Bureau using P-Card. Developing invoices and procedures with finance for efficient payment to contractors and reimbursement to DMR.
  • Advising and assisting Bureau staff on the assembly of RFP and contract documents. Providing examination and analysis to better support the Bureau RFP and contractual needs.
  • Assisting with grant compliance and working with finance to ensure grant forms and procedures are followed.
  • Coordinating accounting and general operating activities.
  • There will be some remote work opportunities with this position which follow the DMR Telework Policy and after management approval.

Qualifications

  • Training, education, or experience in administrative support work that demonstrates competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks at the statewide level that are broad in scope or functionally diverse.
  • The ability to use independent judgment, initiative, and decision making on complex administrative matters.
  • All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I, Office Associate II, and Office Specialist I.
  • Preference will be given to candidates with proficiency in Microsoft Office, especially Excel.
