[Hiring] Junior Vendor Coordinator @TownSq

Role Description

We are looking for a highly organized and detail-oriented Vendor Operations Coordinator to support our RFP (Request for Proposal) process and vendor management operations.

• Source qualified vendors for active RFPs
• Contact vendors to confirm interest and availability
• Introduce vendors to Community/Association Managers (CAMs) and support communication throughout the bidding process
• Follow up with vendors to collect proposals and required documentation
• Review vendor profiles and verify compliance requirements, including insurance documentation
• Ensure bids align with the Scope of Work (SOW), locations, and RFP requirements
• Request proposal revisions when information is incomplete or unclear
• Upload and organize proposals and documentation in the VendorSmart platform
• Maintain accurate vendor and RFP statuses
• Document updates, findings, and vendor interactions clearly within the system
• Support follow-ups requested by CAMs or internal stakeholders regarding proposal revisions

Qualifications

• Proficiency in English
• Strong organizational skills and attention to detail
• Ability to manage multiple tasks and deadlines simultaneously
• Professional written and verbal communication skills
• Comfortable following up with vendors and keeping processes moving
• Ability to review documents carefully and identify missing information
• Comfortable working with systems and keeping accurate records
